Job Summary
• assist in phone reception for executive and administrative department.
• prepare and coordinate mail, faxes, and attendance records.
• maintains stock of offices, jantorial and kitchen supplies and records when needed.
• optain/quots/ bids from suppliers.
• handle petty cash and reconciliation.
• maintain all company accounts in accounting software and preapre all monthly cash flow statement, P & L, ETC.
• ccordinates with auditor one a year for auditing.
• Establish General filing system for safekeeping of corporate records, contracts, personnel documents, ets; (maintain complete confidentialty of records)
• Track passport, labour card, health card expiry dates and handle renewal requirments.
• maintain calander/ appointments .
• arrangement travle and handle travle expenses.
• use effictive office procedures and recommend improvments .
• prepare invoices, reports, memos, letters, financial statements and other documents using word processing, spreadsheets, database, and/or presentation software.
• negotiate with vendors, maintain and examin lease equipments, purshase supplies, manage areas such as stockrooms or corprate libraries and retrieve data from various sources.
• provide training and orientation for new staff.
