Job Purpose:

To head the Accounts Department , ensure that the company’s financial interests are protected and all financial controls are in place. To support the Management in handling of all bank relationships and negotiations and provide them with MIS reports as needed.

Responsibilities:

Accounts & Finance

• Ensuring that all departments and individuals comply with the company’s financial / commercial policies and procedures
• Review policies and procedures followed periodically for assessing any gaps, and make changes after taking necessary approvals from the GM / Directors
• Work closely with the legal department to understand possibilities of loss of controls / fraud and take steps to prevent incidents
• Ensure that all of the company’s assets such as stock, office and warehouse premises, vehicles, other fixed assets, and receivables are adequately insured
• Obtain adequate coverage at competitive rates from concerned insurance providers
• Ensure that the data entry operators carry out their jobs efficiently and support their respective warehouses and sales teams, while adhering to commercial policies
• Monitor all receivables by actively discussing and tracking the same with the concerned team members; support the team in coordinating with the sales team / customer if required
• Verifying all payables and ensuring that these are processed accurately on time and as per approved terms
• Monitor the inventory levels and quality of inventory held through concerned team members
• Provide timely and accurate MIS information to the Management on a periodic basis or whenever requested
• Drive the budgeting activity across the company, and support other department heads for the same
• Monitoring of fixed asset purchases, and ensuring that concerned staff maintain the fixed asset register accurately and on time
Banking
• Manage all bank accounts / facilities and ensure that there are adequate funds for meeting the company’s requirements
• Negotiate with banks based on guidelines provided by the GM / Directors and obtain the best possible facilities and terms for the company
• Closely monitor all day to day bank transactions such as cash and cheque deposits, fund transfers (in & out), inter-bank / inter-company transfers etc.
• Provide suggestions to the management regarding areas of improvement such as more effective cash utilization, risk identification and mitigation, best practices in banking related activities etc.
• Monitor the company’s working capital requirements and utilization, and ensure that facilities are used optimally to meet the working capital requirements
• Help the Management in identifying suitable external auditors whenever required
• Support all external audit activities as requested by the auditor

Other Supervisory Responsibilities - General

• Plan departmental activities, capture performance data and review and analyze data.
• Implement control procedures to minimize performance deviations.
• Provide inputs to the Management regarding various aspects whenever asked for.
• Play an active role in recruitment process by screening resumes and conducting preliminary interviews.
• Induct new employees in to the department by explaining role, responsibilities and key performance indicators.
• Provide on the job training to new members who join the department.
• Conduct performance appraisals for department staff.
• Execute and complete all the instructions given by the Management that is related to the objectives set for the position
• Extend professional support to all other colleagues to the extent possible and maintain cordial and healthy work atmosphere.
• Take responsibility for own personal development in line with agreed annual performance objectives.
• Constantly acquire knowledge and remain abreast with latest technologies & market trends.
• Pro-actively take responsibilities of other team members, colleagues or seniors during their absence.

Desired Candidate Profile

Skills Required:

• At least 3-5 years of recent experience in the FMCG industry (focused on foodstuff trading) in the UAE
• At least 10-15 years of experience in Finance at a strategic level
• The candidate must have excellent commuication and reporting skills
• Ensuring financial discipline and compliance to financial policies
• Risk management and mitigation
• Obtaining best possible terms and facilities from banks, as advised by the Management
• Managing the working capital of the company
• Ensuring that all of the company’s assets are adequately insured
• Monitoring the Accounts department’s activities and ensuring that team members are carrying out their core functions such as monitoring of receivables and payables, data entry, inventory control, fixed assets, payroll processing etc.
• Providing timely and accurate MIS reports to the Management
