Job Purpose:
To ensure the efficient day-to-day operation of the office and supporting the staff and the management

Principal Accountabilities:
• Supervise and monitor All Administration tasks pertaining to the Oman Offices to ensure a smooth functioning of all administrative activities.
• Circulating LPO’s and contracts via e-mail to the concern persons and Sales Person and coordinate with Sales Coordinators and Sales Staff
• Check and Forwarding Email to concerned department coordinator
• Maintaining all Agency contract copies and ensuring timely monitoring and renewals
• General filing of all incoming mail, faxes, incoming and outgoing documents and courier deliveries for Oman office
• Purchase & Maintain all office supplies and to ensuring that basic supplies are always available
• Assisting Finance department for any documentation requirement
• Scanning all Necessary Documents (Scanning documents for all divisions)
• Arranging all documents for Signature for Zahrawi Gulf and tracking of the documents
• All necessary Back-ups in absence of the other administrative staff
• Handles hotel booking and air ticket booking for staff and clients as requested in the absence of office administrator or admin supervisor (backup administrator’s job profile)
• Assisting Warehouse for stocktaking
• Coordinating with Procurement + Logistics + Warehouse for deliveries
• Maintain and Monitor cleanliness of Oman Offices with Office Administrator
• Supervise, Maintaining and Monitoring the international phone call logs
• Supervise, Maintaining and Monitoring electronic access device for entry and exit
• Supervise and Maintaining conference or meeting room schedule program
• Arranging birthday or party meeting snacks and juices
• Supporting with IT department to ensure all connections running fine
• Checking the local Newspapers for Tenders/Projects/Quotes
• Drafting & Typing of Arabic Letters and getting the authorized signatories
• Coordinating with for Legal and Admin related work related to Oman
• Conducting HR Initiatives and CSR Activities in coordination with HR(DXB)


Desired Candidate Profile

3 - 5 years of experience

Required Skills:
• Proactiveness to manage and handle all aspects of the job role.
• Thoroughness of routes
• Decision making as to manage the routes according to the urgency and time
