Job Description

To provide a range of reception intake and associated administrative services pertaining to incoming patients. The customer office executive will answer and direct incoming calls to appropriate individuals. Perform specified routine procedures such as greeting and referring patients, answering routine/administrative inquiries, and general office support activities as appropriate.

Responsibilities

  • Greets patients and their families to identify the nature of their inquiry.
  • Provides relevant information or directs patients to the appropriate contact within or outside the organization.
  • Advocates patient and family rights, responsibilities, confidentiality, and education.
  • Develops and maintains feedback and complaint procedures to support customer redressal.
  • Communicates necessary information to the Floor Supervisor on a daily basis.
  • Manages the flow of visitors and patients, ensuring outstanding customer service in a friendly environment.
  • Provides accurate information about medical insurance coverage and verifies details before referring patients to the doctor.
  • Investigates patient and visitor concerns and takes appropriate action.
  • Maintains accurate records of discussions and correspondence with customers.
  • Handles patient interactions, telephone calls, cash transactions, and back-office duties as per the duty roster.
  • Performs additional duties as assigned by higher authorities.
  • Complies with all OSH and infection-control policies, standards, and procedures.
  • Works in accordance with documented OSH procedures and specific responsibilities.
  • Remains familiar with emergency and evacuation procedures.
  • Reports OSH hazards, incidents, near-misses, and assists in preparing risk assessments and incident reports.
  • Complies with waste-management procedures and policies.
  • Attends required OSH and infection-control training sessions, mock drills, and awareness programs.
  • Uses appropriate personal protective equipment (PPE) and follows safety systems.

Desired Candidate Profile

Qualifications

  • Preferably a graduate in any discipline.
  • Minimum 1 year of experience as a receptionist in a patient-focused environment; experience with multi-line switchboard systems preferred. Interest in working in a hospital setting.
  • Proficient in basic technology applications, including MS Office (Word, Excel, PowerPoint), MS Outlook, and Internet Explorer.
  • Possesses exceptional interpersonal skills, maturity, sound judgment, and the ability to communicate professionally with a diverse range of individuals; strong phone etiquette.
  • Patient-focused, service-oriented, polite, and understanding.
  • Strong organizational skills with the ability to manage multiple responsibilities under pressure while maintaining composure.
  • Able to work independently with minimal supervision.
  • Reliable, punctual, dependable, and responsive.
  • Excellent command of written and spoken English; knowledge of Arabic is an advantage but not mandatory.
