Roles & Responsibilities

Role Purpose

  • Deliver a professional first point of contact for parents, students, visitors, and vendors while providing administrative support that ensures smooth daily operations, accurate records, and timely communication.

Key Responsibilities

Front Desk Operations

  • Greet and assist parents, students, and visitors; manage sign-in/out and visitor badges.
  • Handle incoming calls, emails, and WhatsApp; route inquiries and log messages within SLA.
  • Manage reception calendar, meeting room bookings, and staff/parent appointments.
  • Coordinate deliveries, mail (incoming/outgoing), and courier services.

Administration and Records

  • Prepare letters, certificates, and official documents for students and staff.
  • Maintain student and staff records, files, and archives (digital and physical) per privacy policies.
  • Update SIS/CRM entries (enrollment, attendance, contact details) accurately and on time.
  • Support document collection for admissions, compliance, and accreditation.

Communication and Parent Support

  • Send announcements, newsletters, and notices via email/SMS/WhatsApp and portals.
  • Provide timely information on schedules, events, fees, and procedures; log and follow up on parent requests and complaints.
  • Coordinate event logistics at reception (open days, meetings, interviews).

Operations Support

  • Assist with printing, copying, and inventory of stationery and front-office supplies.
  • Support emergency/safety protocols at reception (visitor control, incident logging).

Collaboration

  • Liaise with Admissions, Academics, HR, Finance, and Transport for smooth processes.
  • Support exam and activity schedules (invigilation lists, room readiness, sign-in sheets).

Working Conditions

  • Full-time on campus; standard school hours with occasional early/late shifts for events.
