Duties & Responsibilities:
Maintain all the employee records/ documents and reports related to administration (e.g. employee file, records related to employment, copies of IQAMA, Passports.
Maintain and update all administrative details related to employees in the company ERP system (e.g. Iqama, passport, visa information and renewal schedules, details of family members, visit visa etc...)
Facilitate various administrative services to employees (e.g. Employee Visa applications, Exit-re-entry Visa, Family Visa applications, Visit Visa, New Iqama and Iqama renewals, Passports and its renewal, new employee medicals, etc...)
Supervise personnel files of all staff members and maintain high level of confidentially
Coordinates, monitors, and manages all administrative related issues related to staff members
Coordinate with Finance department for processing employee exits, final settlement.
Synchronize with all the departments in handling and processing the vacations, business trips, training trips etc.
Provide all necessary assistance to employees on work-related accidents, diseases and dangerous incidents including death cases. This includes proper coordination with respective project manager to support the employees for treatment, insurance claims, legal assistance, legal documentation and support etc...
Communicate with Labor office / GOSI to update companies records
Ensure all documentation regarding insurances is up to date and in compliance with current Labor Law requirements (E.g. New insurance cards, renewals, addition cards, up gradation etc...
Follow-up on changes in legislation and current immigration affairs across KSA and update reporting manager as accordingly to be updated in the policy.
Review and update standards and quality for immigration applications and documentations to ensure compliance with the Kingdom’s immigration laws
Submit timely reports about company’s immigrant employees to corresponding governmental entities on a regular basis.
Track Government services fees (Iqamas, work permits, Wakalas etc.) to monitor changes in expenses and adjust actual spend to budget.
Responsible for the application of the internal policies and procedures
Preparation and typing of company’s confidential documents, letters to labor office etc. and reports for review
Prepares and submits periodic progress reports pertaining to all the administrative activities
Ensures proper filing and safe custody of all administrative service documents
