Workplace: Embassy of the Republic of Kosovo in Abu Dhabi
Duration of the contract: One year (with possibility of extension) with a probation period of 3 months
Duties and Responsibilities:
Works under the supervision of an embassy or consular officer, who is responsible for administrative functions.
The person assigned to this task should be able to perform general administrative tasks and logistical support functions as well as having general knowledge of computer work and document preparation.
The specific functions include as follows:
Provision of telephone and reception services;
Preparation of reports and simple correspondence; processing of invoices, payment for equipment, licenses and forms of host government, and financial documents;
Carrying out banking and financial routine transactions; payment of bills and services, rent and other payments;
Conducting of postal and diplomatic suitcases for embassies and consulates; selection and distribution of incoming correspondence; regulation of postal services and freight transport;
Keeping an accurate inventory for all the embassies and consulates assets; procurement and maintenance of expenditures, including office supplies, supplies for replacement of photocopiers and other office equipment; sheets for copy and other paper products, supplies for equipment, and the necessary small maintenance equipment;
Performing simple repairs and maintaining a list of service operators, including repairing, cleaning, guarding, drivers and rolling stock personnel;
Regular maintenance of the storage space for embassy or consulate files;
Addressing payment for cargo air transport and transportation of household appliances for embassy or consulate staff; processing customs bills and customs documents;
Arrangement of operators and information technology services; and procurement of IT equipment and services.
Qualifications, Skills and Experience:
To hold a Bachelor Degree;
To have a valid permit residence in the United Arab Emirates;
To have written and oral communication skills in English and Arabic
Proven ability to arrange and maintain documentation, and to determine the right solutions;
Knowledge from the aspect of providing administrative services
To have excellent self-organization skills, to be able to create effective advantages by working in a environment under pressure
To have a relevant job experience.
