Reports to the Senior Administrative Assistant, Operations Manager and or Information Management Director as appropriate. Performs administratively related duties encompassing the Departments within the Information Management Directorate. Prepares personnel reports electronically and/or in hard copy. Types and edits documents for signature by upper management. Prepares charts in PowerPoint and in excel for management as required by the monthly battle rhythm. Compiles administratively related data and maintains files on such. Coordinates with Department leadership and personnel as needed. Handles all paperwork in the processing of new badges and badge renewals for all employee’s, VIP’s, visitors, and Subcontractors to the Directorate. Submits packets and or reports through Directorate Administrative channels as needed.
MAJOR JOB ACTIVITIES:
Perform duties related directly to the administrative aspects of the Directorate.
Coordinates directly with each Department Manager and its employees as mission dictates.
Compilation of reports received from the Departments for reporting to the Directorate and Upper Management.
Conducts research on issues/matters related to the Directorate and provides verbal or written findings.
Prepares and ensures daily reports and PERSTATs are submitted on time.
Ensure the overall personnel tracking data is accurate and up to date.
Prepares briefings in PowerPoint and Excel consistent with the battle rhythm of the Directorate as directed.
Gains a comprehensive knowledge of the Administrative, Operational and Logistical aspects of the Directorate and each Department.
Performs other duties as assigned.
MATERIAL & EQUIPMENT DIRECTLY USED:
Desktop computer, scanners, printers, copiers, and other office related equipment.
Microsoft Office Programs ~ Mainly PowerPoint, Excel and Word
Work is generally conducted in a work center administrative environment. However, duties may occasionally involve working outside with a potential exposure to extreme temperatures. Employee use of personal protective equipment (PPE) in certain areas is required. Such PPE includes but is not limited to head, foot, hand, torso, respiratory, vision and hearing protective devices. Normal work week is 48 hours but may be required to work overtime.
May be required to lift, climb, extended sitting or standing, or other physical efforts that are normally required. In addition, visual acuity, hearing and speaking requirements are required.
