Team description:

• Primary direct collaboration with a team of 4/5 people (Annuity Managers + Team Leader) at the Novagraaf International site located in Switzerland
• Direct collaboration possible with the Novagraaf France annuities team (4 people)
• Indirect collaboration is possible with the patent engineers and paralegals + support services of Novagraaf International located in Switzerland (example: the accounting department, the IT department...).

The service's main mission is to monitor and manage annuity payments. To keep a patent in force, its holder must pay an annual fee called an "annuity." A patent can remain in force for a maximum of 20 years (generally). After this period, or when the annuities are no longer paid, the patent falls into the public domain, meaning that the invention it protected is no longer protected and anyone can freely exploit it.

Main mission of the position: to support the annuities department in its mission (Back Office). Possibility of progression to an Annuities Manager position (Front Office).

Service activity:

• Volume of annuities under management: approximately 90,000 active cases, of which 60,000 annuities are in payment

• Managing a large portfolio of annuities for different types of clients: individuals, public institutions, private institutions for which Novagraaf is in charge of the procedure (i.e., filing patents with the Offices)

• Client portfolio management for annuities only (patent filing procedure is external to Novagraaf): monitoring of deadlines, monitoring of information/data updates transmitted by different sources (firms and/or clients), recording of this data and the corresponding deadlines on the dedicated software

• Incoming mail management across different email addresses: a general service address and several specific email addresses dedicated to individual clients (high volume of annuities)

• Sending of annuity due date notices/reminders. These reminders can be annual, semi-annual, or quarterly and are sent via our dedicated annuity management software.

• Management and monitoring of client instructions on software dedicated to annuity management: abandonment orders, payment orders, cessation of monitoring orders

• Issuing and sending invoices to customers according to their specific requirements (email, and other platforms).

• Monitoring and processing of notifications received from our payment partner, sending to the client and recording on the dedicated software, updating of files, verification of deadlines, creation of credit notes/supplementary invoices.

• Provide clients, upon request or according to established agreements, with various documents: portfolio statements, budget statements, billing statements
