Job Title: Assistant Operations Manager, Port Agencies.
Job Overview: Reporting to the Operations Manager for the day to day coordination of Port operations (Port Agency Department).
Job description: Process all requirements of principals in accordance with Quality Assurance procedures, Company’s approved forms and Rules and Regulations for Seaports. Following are details of main tasks.
• Responsible for all communication with clients, monitoring all communication exchanged between operations staff and all concerned parties including ship master, shipowners/charterers, cargo receivers/shippers/their agents and port/terminals.• Receive agency nomination, technically verify, accept and instruct Shipping Accounts to quote PDA.• Instruct port operations team to process the port calls and monitor the process closely.• Respond to clients and ship master the relative technical data for ports/terminal/berths when asked.Supervise the sections of operations and to enhance the level of performance to determine the extent the efficiency and quality of work on these sections constant guidance and support to them.• Follow-up to the conditions of the Port Operations and liaise with the Port Operations supervisors, and review prepared daily reports and taking urgent resolution to any problem arises on the spot. • Reviewing quality policy and quality objectives periodically as ongoing commitment.• Raise NCR when a process deficiency is being identified or when a customer complaint is being received. Monitor corrective action taken and verify compliance.• Ensure full compliance to Rules and Regulations for local port authorities, and company’s policies, especially in respect of safety, environment, during working, ethics and anti-corruption.• Verify that all services and products are timely provided. and met with customers’ requirements and expectation.• Ensure that the stevedore perform the services as requested in an economical, professional and workmanlike manner at the agreed rates and conditions. In conjunction with the stevedores should order gangs in accordance with local working rules, practices and principals interests are always kept well protected.• Ensure that no service will be started unless job file is being opened in FMH electronic ERP system. Vide the Shipping Operation work flow and procedures. Job file should be closed when all services related to port call is being completed verify.
