Will provide all secretarial services within the Culinary Division in accordance with standards, corporate guidelines, policies and procedures as established by the company and the hotel. The selected candidate will coordinate daily office related activities, provide accurate document processing, ensure efficient internal and external communications and complete administrative duties as assigned by the Executive Chef.
JOB RESPONSIBILITIES
• To reflect the Shangri-La Philosophy by providing the highest quality of service to our customers and employees. By always adopting a positive attitude and keeping the team spirit at the highest level.
• To greet with a smile at all times to colleagues or guests anywhere in the hotel (front or back of the house)
• To have a pride of the self personal appearance, makeup and clothing
• To remain confidential about all matters of such nature
• To show initiative in the daily tasks during the absence of the Executive Chef from office.To report on what action has been taken upon his return
• To type E-mail, letters, reports and other correspondence including memos in an efficient manner, to distribute or mail, keep copies in file, type menus, recipes etc.
• To answers calls according to hotels standards
• To keep Executive Chef s agenda updated and remind him about appointments
• To receive visitor and screen them, set up appointments after consulting with superior
• To update the kitchen utensil budget
• To arrange various information of kitchen equipment in order to assist the Executive Chef to facilitate the annual capital budget
• To update the Shangri-La Food Safety Management System Guidelines and Policies as well as other documents as required.
• To distribute the updated information of SFSMS policies to all kitchen chefs and FSMS committee members
• To update information on F&B checklist via intranet
• Minutes taking for FSMS meeting
• Provide wide range of secretarial and administrative support to the division as well as inter-departmental coordination and liaison from time to time
• Arrange appointments and meeting schedules for Executive Chef and keep track of his daily engagement. Organize travel arrangement on secondment and promotion for chefs
• To arrange training programs for kitchen staff and coordinate with Human Resources Division
• To assist Central Purchasing to source quotations for equipments and utensils, and closely communicate with suppliers in order to speed up the process of procurement.
• To carry out any special and ad hoc projects as assigned by Executive Chef
REQUIREMENTS
• At least 2 years experience in a similar position in a 5* hotel
• Excellent communication skills in English (oral and written).Fluency in Arabic is an advantage
• Diploma/degree in a secretarial course is an advantage
• Excellent computer skills (Word, Excel, PowerPoint)
• Excellent organizational skills.Typing skills 45 WPM
