To assist the PR Manager ensuring all functions and processes of the department are carried out consistently and effectively.
• Minimum 3 to 5 years experience.
• Handle daily correspondence/financial documents such as purchase order, expenses claims, etc.
• Maintain filling system.
• Maintain updates of the Public Relations and crisis management manuals.
• Handle all agencies/vendors invoices and act as contact point for billing matters.
• Play support role in developing hotel Public Relations budget by updating budget figure periodically.
• Maintain a) accurate press lists; b) targeted press release distribution; c) on-going review of media needs/initiation of newsworthy stories
• Assisting PR Manager in proof-reading, checking and producing in-house collateral as per Guest Communications SOP.
• Liaises with professional printers and design agencies to produce external collateral that is consistent with brand guidelines.
• Assisting PR Manager and keeps all collateral and brand files up to date in conjunction with corporate Brand Communications.
• Handle film shooting, photography arrangements from contacting clients, ensuring smooth security pass, timetable and branding in accordance to the SOP.
• Assisting PR Manager in updates guest newsletter on a monthly basis, liaising with all relevant departments to provide new events and activities for inclusion.
• Reads all relevant press, with particular attention to competitor activity and brief other resort staff as appropriate.
• Arranging and hosting press visits and photo shoots.
• Assisting PR Manager with writes and updates press releases and other press material as appropriate.
• Keeps a regular supply of brochures, press kits, DVDs and other collateral for media distribution.
• Preparing monthly reports for corporate PR office and resort management.
• Updates press calendar weekly and shares with Sales & Marketing team.
• Keeps press mailing and contact database up to date.
• Liaises with all overseas sales and PR offices.
• Participates in monthly conference calls with all PR agencies and corporate PR office.
• Liaises with local authorities, airlines and Tourism Promotion Board/ Ministry of Tourism.
• Ensures all faxes, messages, telephone calls, letters, e-mails and correspondences are replied to within 24 hours (48 hours maximum).
• Acts as a general administration support to Public Relations Manager and Sales & Marketing offices.
• Updates press cutting presentation folders of all press coverage on a regular basis.
Any other duties, which may be assigned to you from time to time as directed by your Supervisor or Manager.
