Job Description
Roles & Responsibilities
- Oversee the entire document lifecycle, from creation and version control to archival and disposal, guaranteeing data integrity and security within the finance department.
- Manage and maintain the financial document filing system, ensuring all records are accurately stored, easily retrievable, and compliant with company policies and regulations.
- Process and track invoices, purchase orders, and other financial documents, ensuring timely and accurate data entry into accounting systems.
- Coordinate with various departments to gather, review, and distribute financial documents, facilitating smooth communication and collaboration.
- Implement and enforce document control procedures, ensuring adherence to established standards and promoting best practices within the team.
- Conduct regular audits of financial documents to identify and rectify errors, discrepancies, and compliance issues promptly.
- Assist in the preparation of financial reports and presentations by compiling and organizing relevant documentation.
- Provide training and support to staff on document control procedures, promoting understanding and adherence to established protocols.
- Utilize document management software to streamline workflows, improve efficiency, and enhance accessibility of financial records.
- Maintain confidentiality of sensitive financial information, upholding the highest ethical standards and data protection protocols.
Desired Candidate Profile
- Possesses a Bachelor's degree in Accounting, Finance, Business Administration, or a related field, demonstrating a foundational understanding of financial principles.
- Holds a certification in Document Control or a related field, showcasing a commitment to professional development and expertise in document management.
- Demonstrates 3-5 years of relevant work experience in document control or a similar role within the finance or accounting industry, exhibiting practical knowledge.
- Prior experience working within a multinational corporation with demonstrated experience in a fast-paced environment.
- Exhibits strong proficiency in document management systems and Microsoft Office Suite, including advanced Excel skills.
- Possesses exceptional organizational and time management skills, enabling efficient handling of multiple tasks and deadlines.
- Demonstrates excellent attention to detail and accuracy in data entry and document processing.
- Exhibits strong communication and interpersonal skills, facilitating effective collaboration with colleagues and stakeholders.
- Demonstrates a proactive and results-oriented attitude, with the ability to work independently and as part of a team.
- Adept at maintaining confidentiality and adhering to ethical standards, showcasing a commitment to data security and integrity.
