Roles & Responsibilities

Position / Job Title: Document Controller


The Document Controller is responsible for ensuring that all project-related documents are accurate, up-to-date, properly logged, tracked, and recorded in compliance with company standards. This role involves maintaining an organized system for storing, retrieving, and sharing documents efficiently. The Document Controller will manage both technical and commercial documentation, ensuring that all information is accessible to the relevant stakeholders while adhering to strict confidentiality and security protocols. Key Accountabilities includes managing the flow of documents between internal teams (among the Employer), consultants and Contractors, as well as performing other duties as assigned by ARADA management from time to time, with a detailed breakdown provided below.

Qualifications & Experience

Bachelor’s Degree (any discipline).

Minimum 2 years of experience as a Document Controller in the construction, real estate or banking industry

UAE driving license required (preferable with a Car)

Age limit: Preferably below 35 years.


Key Skills & Requirements:


1. Proficient in MS Excel & MS Word:

Strong working knowledge of Microsoft Excel (including formulas, filter features, data validation) and Microsoft Word (document formatting, editing, and creating / drafting reports).

2. Advanced Adobe Acrobat / Foxit Skills:

Proficient in using Foxit / Adobe Acrobat for document creation, editing, and conversion, including handling PDF forms, annotations, and digital signatures.

3. Attention to Detail:

Demonstrated ability to maintain a high level of precision in all tasks, ensuring accuracy and consistency in data entry, reporting, and documentation.

Ability to manage large volumes of documents and data in a systematic and efficient manner.

Ability to resolve document-related issues efficiently, including discrepancies or version control problems.

4. Excellent Organizational Skills:

Highly organized, with a proven ability to manage multiple tasks simultaneously and maintain structured documentation and records.

5. Time Management & Prioritization:

Strong ability to effectively manage time, prioritize tasks based on urgency and importance, and meet deadlines in a fast-paced work environment.

6. Strong English Language Skills:

Excellent command of the English language, both written and verbal, with the ability to communicate clearly and effectively at all levels.

7. Confidentiality:

A strong understanding of development / Construction related document confidentiality and the ability to protect sensitive information.

Key Accountabilities:


1. Awareness of Technical and Commercial Documents: In-depth knowledge of all construction-related technical documents and the disciplines, including, but not limited to, prequalification submissions, shop drawings, material submittals, method statements, RFIs (Requests for Information), CVIs (Confirmation of Verbal Instructions), As-Built drawings, Operation & Maintenance Manuals, warranties, and related documentation.

Comprehensive understanding of all construction-related commercial documents, including contract agreements, variations, payment requests, invoices, bank guarantees, extensions of time etc and should be able to draft letters as needed. Extensive knowledge of inspection-related documentation, including WIRs (Work Inspection Requests), MIRs (Material Inspection Requests), SORs (Site Observation Reports), NCRs (Non-Conformance Reports), snags etc.

Have a thorough understanding of authority approvals and related documents.


2. Logging, Tracking and archiving of Technical & Commercial Submittals: Maintain log of all technical submittals to ensure timely review, approval, and compliance with project requirements.

Monitor the status of submittals to ensure they meet deadlines and project milestones, follow up with consultants or contractors to ensure revisions and updates are properly documented, and manage the timely distribution of documents to relevant stakeholders, including internal teams, consultants, and Contractors.

Record, track, and manage commercial correspondences and its responses.

Ensure that commercial documents are distributed to the relevant stakeholders (e.g., project managers, finance teams, Commercial Departments) and archived according to established procedures and audit requirements.

Ensure compliance to the document control protocols (e.g., project filing systems, document version control, and approvals).
