Job Description

An Events Coordinator plays an essential role in the planning and execution of various events for a company or organization. This role requires a combination of creativity, attention to detail, and excellent organizational skills to successfully manage and orchestrate events ranging from small meetings to large conferences. The Events Coordinator must communicate effectively with vendors, sponsors, clients, and guests to ensure all aspects of an event run smoothly and meet the client s requirements and expectations. The ideal candidate will be passionate about managing events and ensuring that each one is unique and memorable. They must be proactive and capable of working independently, as well as collaboratively, with a diverse team to deliver high-quality events that enhance a company s brand and image.


Responsibilities
  • Coordinate all operational aspects of events from conception through execution.
  • Develop detailed event plans including timelines, schedules, and budgets.
  • Communicate effectively with clients to understand their expectations and requirements.
  • Manage relationships with vendors to negotiate contracts and agreements.
  • Oversee event logistics including setup, breakdown, and on-site coordination.
  • Coordinate transportation, accommodations, and catering services for event participants.
  • Develop and maintain a checklist of tasks and activities for each event.
  • Ensure compliance with insurance, legal, health, and safety obligations.
  • Monitor and manage the event budget to optimize costs and maximize value.
  • Assist in marketing and promotion efforts for various events and activities.
  • Evaluate and report on event outcomes to assess success and areas for improvement.
  • Maintain a close working relationship with the marketing team and other departments.

Requirements
  • Bachelor s degree in hospitality management, event management, or related field.
  • Proven experience as an Events Coordinator or similar role for at least two years.
  • Excellent organizational, planning, and coordination skills are essential.
  • Strong communication and interpersonal skills to interact with diverse audiences.
  • Ability to multitask and manage multiple events simultaneously under pressure.
  • Proficiency in event management software and tools for planning and execution.
  • Flexibility to work irregular hours, including evenings and weekends when necessary.
