Responsibilities

-Maintain the database of corporate clients and academic partners.

-Undertake a broad variety of administrative tasks for the Dean and Management Committee.

-Managing an active calendar of appointments; arranging travel plans, itineraries, and agendas.

-Manage direct access to the Dean and Dean’s office both internally and externally.

-Provide a bridge for smooth communication between the Management Committee and internal departments; demonstrating leadership to maintain credibility, trust and support with the Management Committee.

-Work closely and effectively with the Management Committee to keep them well informed of upcoming commitments, following up appropriately.

-Prioritize conflicting needs; handle matters expeditiously and proactively.

-Take minutes of meeting with appropriate follow up on action items.

-Maintain the “plan de charge” for Professors while liaising with the Faculty Office in campus

-Handle all reimbursements using the relevant internal systems.

-Undertake all administrative work related to HECs research commitments and manage the applications to research grants including tracking and submissions.

Desired Candidate Profile

Minimum Requirements

University degree or equivalent experience.

Minimum of 8 years of relevant experience in a similar role.

Outstanding organization skills, proactive.

Ability to work extended hours several days per month is a must.

Ability to anticipate problems and generate solutions quickly.

Ability to be firm and determined yet respectful in certain situations.

Ability to work under pressure in a busy environment.

Fluency in Arabic and French is advantageous.


Executive Assistant

Temporary position (4 months) reporting to the Dean.
Ultimate responsibility for the smooth running of all aspects of work for the
Management Committee.
