Job brief
We are looking for a competent Executive Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. She should be able to work on a one-to-one basis on a variety of tasks related to executive s working life and communication.
Responsibilities
1. Act as the CEO s primary point of contact internally and externally & provide direct administrative support to the CEO
2. Calendar Management: Schedule and coordinate internal/external meetings and conference calls
3. Travel Management: Manage all domestic and international travel arrangements
4. Expense Management: Prepare/submit/manage expenditure report and coordinate reconciliation for expenses incurred.
5. Manage office supplies such as stationary needs, business cards and follow up on office equipment repair
6. Planning itineraries, obtaining visas, vaccinations if required, booking and managing car services as well as assisting with international meetings and conference calls
7. Plan, coordinate and complete all daily office duties
8. Assist to prepare documents, Course Completion Certificates, PowerPoint presentations and update contacts and network lists.
9. Coordinate activities and logistics with clients/outside vendors including company/team meetings, events, catering, car service orders, etc.; process invoices for payment.
10. Work directly with and provide backup coverage for other administrative support personnel as needed
Requirements
Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position
Full comprehension of office management systems and procedures
Excellent kledge of MS Office
Proficiency in English
Exemplary planning and time management skills
Up-to-date with advancements in office gadgets and applications
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality
Additional Information
Education: Bachelor or Master s degree; additional qualification as personal assistant would be considered an advantage
Experience: 3 to 4 Years of Experience in UAE
Nationality: Open
Industry Kledge: Real Estate/Construction
Gender: Female preferred
Joining: ASAP
Salary: Up to AED 15,000/- per month standard additional benefits
