We are looking for a competent Executive Secretary to support high-ranking officials in our company. You will be the one to organize and maintain the executive s schedule and assist them by performing a variety of administrative tasks. Executive secretaries must be quick professionals with great time-management and multitasking abilities. It is with their diligence and competence in their work that executives can focus on their managerial responsibilities without worrying for other tasks. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
• File and retrieve corporate documents, records, and reports.
• Greet visitors and determine whether they should be given access to specific individuals.
• Prepare responses to correspondence containing routine inquiries.
• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
• Prepare agendas and make arrangements for committee, board, and other meetings.
• Make travel arrangements for Top management.
• Answering calls and screen phone calls and redirect them when appropriate, taking messages and handling correspondences
• Maintaining diaries and arranging appointments
• Typing, preparing and collating reports
• Filing
• Organizing meetings
• Managing databases
• Attend meetings and keep minutes
• Handle confidential documents ensuring they remain secure
• Maintain electronic and paper records ensuring information is organized and easily accessible
• Provide office support services in order to ensure efficiency and effectiveness within the Office
• Maintain an adequate inventory of office supplies
• Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing

Desired Candidate Profile

Preference will be given to individuals from a textiles background
• A Bachelor degree
• Fluent in writing & speaking English is essential

• Typing at rapid pace
• Ability to maintain calendars and schedule appointments
• Willing to work long hours & be innovative.
