Minimum 5 years experience in Managing Facilities Management role in a hospital in one of the GCC countries Minimum 10 years experience in the field of Facilities Management) Qualification either Mechanical / Electrical Engineer
Operationally manage a 5 star rated hospital in Saudi Arabia that comprises of critical environments, including the total management of hard services for the hospital and management of O&M subcontractors such as elevators, generators, UPS etc. This management will include but not be limited to
Providing a key Facilities Management interface for the client across the facility, creating excellent working relationships with internal customers and attendance at internal, client, site or regional meetings where appropriate
Own the operational space, and within the scope of the contract specification manage the customer journey
and day to day delivery of all services
Ensure all store rooms / areas are managed and controlled with up to date and auditable stock control reporting in place as well as locations and owners
Challenge the status quo and be prepared to change processes and procedures to improve building and
facilities management
Assisting where required and provide support for team members in the delivery of first line facilities support, have a good understanding of all service lines
Overall responsibility for the entire building management systems
Be aware of all and any projects which are being undertaken within the portfolio which may have an impact on operational delivery, contract or risk
Local performance management of all services, ensuring operational excellence by achieving high SLA scores through effective staff deployment to meet SLA attendance and completion times and regular auditing or review
Proactive management, through improving speed to execute and achieve planned and reactive SLA s within
timeframe and demonstrably increasing customer satisfaction through the formal feedback systems in place
Assisting in disaster recovery and business continuity management, supporting the client by contributing and following their agreed processes and procedures
Contribute to the national contract risk register
Ensure the Forward Maintenance Register (FMR) is up dated and works are completed in line with the SLA
Manage, monitor and report on the operational performance of the contract, including operational delivery of planned & reactive works as well as the required financial reporting
Using CIT iungo management information tools and reports to assist in identifying and reducing re-occurring faults
Ensuring full statutory and operational compliance is achieved in line with contract KPI s
Work within the agreed financial parameters agreed within the contract, ensuring that all security, health and safety items are completed in line with legislation and guidance and within the agreed contractual SLA s
Responsible for financial management of the budget and monthly presentation on performance
Provide accurate and informative monthly reporting on work order performance and trends
Build excellent relationships with Landlord where required
Work with the Commercial team and service partners to ensure all building assets, warranty items are correct for the building
Carry out audits and inspections in line with CIT s business management systems and standard processes and
ensure the Actions Database is updated on a regular basis
Ensure compliance with CIT s H&S processes and procedures, including internal and external audits, ensuring that audit Terms of Reference are clear and understood prior to any audit being carried out
Build a collaborative team ethos across the portfolio, including co-ordination of relevant and constructive team meetings and huddles
Line manage direct reports (where applicable) including their performance management. Monitor the performance management of all site team members to ensure that the individuals within the team are working and being treated in line with the companies Vison and Values. Ensuring that our people deliver and work with our service partners
Ensure all team members training is available, carried out, up to date, relevant/compliant, and with individuals competent in their roles
Pioneer and co-ordinate FM best practice, utilising benchmarking, innovation, excellence and a proactive approach throughout the team
Manage service lines (where applicable) as service partner sponsor and conduct monthly reviews/meetings to drive performance and cost efficiencies across the defined services
Assist Head of Department in the management of all policies and procedures and support internal process management and documentation
Actively participate and contribute to all team management meetings and training sessions
Conduct and attend Audits and Site Inspections
Schedule sub-contractor visits to ensure PPM completion
Manage customer complaints and escalate issues and concerns to Service Line management
Facilitate PPM amendments
Compile monthly site reports
Ensure annual maintenance contracts are in place for all Sub-contractor PPM maintenance
Monthly PPM Resource allocation
Regular Site Folder review to ensure sub-contractor and team compliance
Produce Incident reports for site
Analyse and monitor SLA performance for both PPMs and Reactive tasks
Support the customer with the delivery of minor project works
Regular liaison with M&E teams to set and update on site priorities and actions to ensure progression and closure
Liaise with Service Line to obtain updates and report any issues
Attend conference calls & meetings as per the schedule
Provide support/information and direction to other FM s
Gather evidence for submission for closure of audit actions
Escalate any customer complaints or issues that are not being dealt with by direct reports
Gather and provide information for Service Improvement plans
Review site monthly statistics
Submit Client Quotes for approval
Any other duties required as part of the role as and when requested
