Roles & Responsibilities

Job Summary: Our Client is seeking a highly organized and experienced Fleet & Asset Manager to oversee, maintain, and continuously improve the centralized digital inventory and compliance tracking system for all company vehicles and construction equipment across the organization and associated group companies. The ideal candidate will be responsible for managing fleet and equipment records, ensuring timely regulatory compliance, coordinating maintenance and logistics activities, monitoring asset utilization, and supporting procurement and operational efficiency initiatives across projects and business units.

Key Responsibilities:

  • Maintain a comprehensive and up-to-date database of all company fleet vehicles and construction machinery.
  • Record and monitor detailed asset information including make, model, VIN/chassis number, plate number, serial number, asset tag, and classification.
  • Ensure proper documentation and tracking of all fleet and heavy equipment assets.
  • Track and ensure timely renewal of vehicle and machinery registrations, insurance policies, RTA permits, and Asateel registrations.
  • Ensure compliance with transportation and fleet regulations.
  • Verify that all drivers and equipment operators possess valid licenses and required certifications.
  • Monitor and process traffic fines, ensuring timely resolution and payment.
  • Monitor asset allocation across sites, projects, departments, and branches.
  • Maintain records of assigned drivers/operators, equipment status, and asset movement.
  • Coordinate inter-site and inter-company asset transfers with proper documentation.
  • Manage GPS installation, tracking, and removal for fleet vehicles as required.
  • Analyze utilization, downtime, and operational efficiency of fleet assets.
  • Coordinate with workshops and service providers for preventive and corrective maintenance activities.
  • Maintain detailed service and maintenance records including repairs, vendors, parts replaced, and maintenance schedules.
  • Monitor fuel consumption, odometer/hour meter readings, and breakdown history.
  • Identify recurring operational issues and recommend corrective actions.
  • Support recruitment and coordination of drivers, operators, mechanics, and workshop personnel.
  • Manage procurement of vehicles, machinery, and equipment based on project requirements and approved budgets.
  • Handle disposal and sale of scrap or obsolete assets.
  • Arrange rental and hiring of vehicles and machinery for project requirements.
  • Source and negotiate with suppliers and vendors to achieve cost-effective purchasing solutions.
  • Review and verify quotations, invoices, requisitions, and petty cash documentation related to fleet operations.
  • Arrange recovery vehicles, lowbed transport, trailers, and logistical support for projects.
  • Support operational efficiency and implement cost-saving initiatives.
  • Monitor and control fleet-related operational expenses including fuel, repairs, and maintenance costs.
  • Ensure smooth coordination of fleet logistics across project sites and operational departments.
  • Develop and maintain digital fleet tracking systems using ERP platforms, Excel, or Google Sheets.
  • Ensure data integrity, accuracy, confidentiality, and regular system backups.
  • Coordinate with internal departments including Administration, Security, Technical, Procurement, and Site Management.
  • Liaise with government authorities, RTA centers, insurance providers, and external service vendors for documentation and compliance requirements.
  • Support management with operational reporting and fleet optimization initiatives.

Desired Candidate Profile

Requirements:

  • Bachelor's degree in Logistics, Mechanical Engineering, Business Administration, or a related field.
  • Minimum 5 years of experience in fleet and asset management within the construction, infrastructure, or contracting sectors.
  • Strong knowledge of fleet regulations including RTA and Asateel compliance requirements.
  • Proficiency in ERP/fleet management systems such as ARKANy, CICO, FMS, or similar platforms.
  • Advanced proficiency in Microsoft Excel and Google Sheets.
  • Valid driving license (light vehicle mandatory; heavy vehicle license preferred).
  • Strong understanding of fleet lifecycle management, vehicle registration, insurance renewals, and maintenance coordination.
