Job Description

Roles & Responsibilities

The Ground Transportation & Accommodation Manager will be responsible for coordinating and overseeing all guest transport and accommodation arrangements. The role will ensure that transportation provided by DXB Live and accommodation arranged by sponsors and stakeholders are aligned with programme schedules, arrival and departure flows, and guest requirements. The manager will lead the planning, coordination, and monitoring of transport and accommodation services to ensure delegates, mayors, speakers, and VIPs receive a seamless, safe, and high-quality experience.


Key Responsibilities:

Transportation Oversight:

  • Coordinate to ensure buses for delegates and field trips are scheduled, dispatched, and presented to the highest standards (cleanliness, readiness, water provision).
  • Oversee transportation arrangements to and from the airport for the limited group of delegates, mayors, speakers, BCC staff, and other entitled guests, ensuring alignment with contractual obligations and flight schedules

Accommodation Management:

  • Liaise with hotels for mayors, delegates, and speakers who are contracted, prepared, and guest-ready; act as the focal point for escalation with hotels, managing guest group complaints in coordination with the sponsor and in line with contractual obligations and best service practices

Stakeholder Liaison & Coordination:

  • Provide regular updates to senior management on transport schedules, accommodation readiness, and operational risks.
  • Ensure clear communication of schedules, rooming information, and transport plans to internal stakeholders and guest-facing teams

Reporting:

  • Submit daily reports on accommodation occupancy, transport usage, operational issues, and vendor performance against contractual obligations.
  • Provide senior management with regular updates on next-day transport plans, utilization, accommodation status, readiness, key issues, and overall risks.

Desired Candidate Profile

  • Bachelor’s degree or diploma, preferably in Event Management, Hospitality, Logistics, or a related discipline.
  • Minimum of 5 years’ experience managing guest transport and accommodation for international events, summits, or forums, ideally within the UAE.
  • Proven expertise in coordinating transport operations at accommodation sites and event venues in partnership with third-party providers.
  • Strong understanding of guest journey requirements, including airport transfers, hotel operations, and protocol requirements.
  • Excellent planning, organisational, and stakeholder management skills.
  • Knowledge of health & safety and risk management frameworks relevant to transport.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
