SHARE JOB Position Summary: The Guest Services Officer plays as a link between guest and Management to communicate with guest to find out guest s expectation in order to improve the service standards. He/she is responsible for the efficient rooming of Service Apartment guest according to the standards of the Serviced Apartment. The Guest Services Officer also provides efficient business services, handles all telephone communications, general enquiries & requests, and maintaining good rapport with internal (colleagues) and external (tenants, guests & visitors) customers. He/she will provide assistance to the Guest Service Manager when the need arises. Responsibilities: 1. Responsible for checking in guests such as registering and assigning rooms to guests. 2. Issues room keys and escorts guests into rooms. 3. Keeps a record of room availability and guests' accounts using computers. 4. Transmits and receives messages, using telephones or telephone switchboards. 5. Answers inquiries pertaining to hotel services, registration of guests, and shopping, dining, entertainment, and travel directions. 6. Arranges tours, taxis, and restaurants for customers. 7. Records guest comments or complaints, referring customers to managers as necessary. 8. Handle cash advance or cash received upon check out. 9. Performs simple bookkeeping activities, such as balancing cash accounts. 10. Makes and confirms reservations. 11. Performs any other duties as required by the Front Office or Management. 12. Ensure prompt and precise information and assistance is provided to tenants and guests on matters concerning services and facilities. 13. Handle all equipment rentals and raise the necessary charges for tenants/guests signature and billing. 14. Responsible for safekeeping and the appropriate use of allocated tenants documents and collateral items. 15. Ensure familiarity with each allocated tenant s correspondence styles, filing system and head office, and maintain a file on tenant s profile and preferences. 16. Handle faulty situations, raise work order and report them to the department concerned. 17. Ensure that all equipment is in good working conditions and regularly maintained. Experience: At least 2 years work experience in the Guest Service position in the hospitality industry. Attributes: Display of cheerful, pleasant and warm disposition.
