Job Description

Roles & Responsibilities

1. HRMS Support & Data Management

  • Assist in maintaining and updating employee data in the HR Management System.
  • Configure, update, and maintain system modules, workflows, and user access.
  • Ensure data integrity, accuracy, and compliance with institutional policies and data protection standards.
  • Support the configuration, testing, and troubleshooting of HRMS modules.
  • Coordinate with the IT team and system vendors on system-related issues or enhancements.

2. Reporting & Analytics

  • Generate regular and ad-hoc HR reports on staffing, attendance, training, and other HR metrics.
  • Develop and generate regular HR dashboards and ad-hoc reports to support decision-making.
  • Help design and maintain data tracking templates and automated reporting tools.

3. Quality Assurance & Accreditation Support

  • Coordinate the collection and organization of HR-related evidence for institutional accreditation and quality audits.
  • Maintain documentation of HR policies, staff records, and reports required for compliance submissions.
  • Ensure data and records are properly archived, updated, and retrievable for review purposes.
  • Liaise with the Quality Assurance Department to ensure HR data meets reporting standards.

4. Process & Systems Improvement

  • Identify opportunities to streamline data entry and reporting workflows.
  • Support HR initiatives related to digitalization, record management, and process improvement.
  • Provide basic training and support to HR users on system use and data entry standards.

Any other tasks assigned by the HR Director from time to time.

Desired Candidate Profile

Educational Qualification:

  • Bachelor s degree in Management Information Systems (MIS), Computer Science, Information Technology, or a related field.

Experience:

  • 0 2 years of experience in data management, systems administration, or a related field.
  • Experience with HRMS or database systems is an advantage.
  • Proficiency in Microsoft Excel and data visualization tools such as Power BI.

Competencies and Skills:

  • Strong analytical and data-handling skills with attention to detail.
  • Good understanding of database or information management systems.
  • Good organizational and documentation abilities.
  • Ability to work collaboratively in a team with good communication skills.
  • Eagerness to learn about HR processes and institutional data requirements.
  • Ability to handle sensitive information with discretion and maintain confidentiality at all times.
