Executive Secretary will report to Director of the company. In this role, this position will be responsible for all Secretarial and HR & Admin activities of an organization for its overseas business.

 You will be the one to organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks
 Maintain executive’s agenda and assist in planning appointments, board meetings, conferences, foreign visits etc
 Attend meetings and keep minutes
 Receive and screen phone calls and redirect them when appropriate
 Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
 Make travel arrangements for executive
 Handle confidential documents ensuring they remain secure
 Conduct research and prepare presentations or reports as assigned

HR & Admin

 Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
 Maintain electronic and paper records ensuring information is organized and easily accessible
 Maintain employee records (soft and hard copies)
 Update HR databases (e.g. new hires, separations, vacation and sick leaves)
 Assist in payroll preparation by providing relevant data, like absences, bonus and leaves
 Prepare paperwork for HR policies and procedures
 Process employees’ requests and provide relevant information
 Coordinate HR projects, meetings and training seminars
 Collaborate with the Recruiter to post job ads on careers pages and process incoming resumes
 Provide orientations for new employees by sharing onboarding packages and explaining company policies
 Vehicle Maintenance and scheduling driver’s duty
 Handling Insurance for office and employees.

Logistics Services - Sales

 Sales activities related to logistics services of Supply Chain / Dispensing business in Pharmaceutical products



Desired Candidate Profile


 Master Degree in business administration or relative field,
 Proficient in MS Office
 Proficiency in English
 In depth knowledge of office management and HR Rules and regulations and Admin procedures as well as technical vocabulary of relevant industry
 Familiarity with basic research methods and reporting techniques
 Excellent organizational and time-management skills
 Outstanding communication and negotiation abilities
 Integrity and confidentiality
 Knowledge of labor legislation
 Teamwork skills
 At least five years of relevant experience in UAE
 Any sales and marketing experience will be an added advantage
