a. Dispatch of all Air consignments has to be made in 2 weeks after the order is confirmed.
b. Dispatch of all Sea consignments has to be made in 3 weeks after the order is confirmed.
c. Keep customers informed on shipment date and mode of shipment, current status etc.
d. Informing clients about new products.
e. Manage all the queries related to branding.
f. Responsible to manage all sorts of communication (damaged items, shortages, and mis-shipments etc) and solution to quality issues.
g. Handle advisor needs proactively & maintain all client contact records.
h. Continuous coordination with international client and location for the smooth flow of business.
i. Coordinate with all departments (Logistics, Production & Warehouse) in UAE for timely dispatch of goods to the international client as per the order received.
j. Prepare packaging list in coordination with respective dept and release it 15 days prior to delivery schedule.
k. Co-coordinate with FG Stores/QC for replacement of products and/credit note against defective products received from stations.
l. Release dispatch schedule within a month after receiving the quarterly projections from stations to concern dept and follow up for delivery schedule.
m. Check stock availability based on dispatch schedule, shortage in stock to be discussed internally to take appropriate action.
n. Before taking final initiative for documentation & dispatch intimation to logistics, approval has to be sought from Sales & Logistics Head.
o. Send all shipping documents & delivery notes before shipment is reaches respective location.
p. Update the pending order list after the dispatch of shipments and reconcile the quantities with respective stations on monthly basis.
q. Responsible to dispatch any additional orders received before the deadline.
r. Check & verify the goods as per the packing list at the time of dispatch for all shipments. Any discrepancy between the physical quantities as compared to packing list quantity should be accounted.
s. Prepare dispatch report on monthly basis.
t. Secretarial assistance to HOD is case of secretary on leave.
u. Coordinate with exhibitors and internal department for timely participation of HOD in exhibitions.
v. Any other duty assigned by department head.

Desired Candidate Profile

• A high caliber Graduate with minimum 3 years of prior experience in in similar role.
• Good Computer and Data Management Skills.
• Should be proficient in Excel and PowerPoint.
• Excellent communication skill both written and verbal as will be coordinating with the international client.
