The Receptionist is the first point of contact for the entire organization, which requires a positive attitude and polished, professional appearance. This position will multi-task a variety of front office activities.

The ideal candidate will have a friendly and easy going personality while also being very perceptive and disciplined. Presentable with pleasing personality. Must have excellent communication skills.Should have ticket booking knowledge.
You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential.

The goal is to make guests and visitors feel comfortable and valued while on our premises.

Desired Candidate Profile

RECEPTION DUTIES
• Greeting and assisting visitors/guests, register and Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
• Attending (multiple) Incoming & Outgoing calls in a timely manner and direct the calls to the concerned person / extension with proper etiquettes and maintaining records for them.
• Forward/relay messages incase staff is not available to answer calls.
• Differentiate the incoming calls and walk-ins. Handle them appropriately, coordinating with the right staff to accommodate them
• provide information to callers and direct persons to correct destination
• ensure knowledge of staff movements in and out of organization (exit and entry records – attendance monitoring of the employee punch in and out and following employee exit forms)
• monitor visitor access and maintain security awareness.
• Coordinate in-house meeting requirements. (meeting room and auditorium booking. Maintaining and record keeping of auditorium and meeting room booking system and log book.
• Travel desk Management. Coordination with Travel agent and assisting ticket booking for employees and management.
• monitor and maintain office equipment and control inventory relevant to reception area
• Sort out incoming mails and distribute to the concerned department / staff. Receive and sign invoices and forwarding to the right person in-charge
• Maintain and update company Phone directory
• Perform courier and dispatch services and maintaining Courier Register, including cheuque delivery and pick up. Maintaining the log book and excel sheet for the courier booking for all business purposes for the Sffeco group.
• Receiving and sending faxes whenever required and confirm the receipt and delivery of the same.
ADMINISTRATIVE DUTIES
• Maintenance of attendance registers. Keeping track on outdoor duties of the Executives / Staff in coordination with the HR department. Generating daily attendance from the Biometric system.
• Confers and cooperates with other departments as needed to ensure coordination of activities.
• Ensures compliance of all company policies and procedures.
• Adheres to all safety procedures and informs management of any unsafe conditions happening at the front office.
• Maintain discipline in rush hours and proper use of front office facilities.
