Main Purpose of the job:

To greet patients and visitors and maintain the reception area, ensuring a good initial impression is received. To provide professional comprehensive reception service to patients, clients, visitors, and providing administrative and secretarial support and communicating information with doctors, medical and non-medical personnel in different departments within organization.

Main Responsibilities:

• Receive all patients to the clinic, ensuring that their requirements are promptly dealt with and that they are given a favorable impression of the company.
• Attend all calls coming to the clinic and take appointments for patients with the requested doctor or specialty.
• Arrange and coordinate all doctors’ appointments as per their schedule and confirm patients’ appointments on daily basis and update doctors about their appointments for the following day.
• Complete registration of patients in the clinic information system.
• Fill patients’ insurance claim forms with their personal information and hand it over to the corresponding doctor nurse. Take copy of patient ID card as well as Insurance card and attach them to his file.
• Getting approvals for insurance patients and arranging claims to be ready for billing and hand them over to insurance coordinator.
• Preparing invoices and billing of patients.
• Supervise the collection and delivery of incoming and outgoing mail to ensure that it is promptly delivered to the correct addresses, internally and externally. This included express post.
• Observe all necessary security arrangements
• Manage Coffee, Tea and Beverages for clinic guests daily.
• Maintain the reception area in a tidy manner.
• Maintain kitchen supplies and ensure it is kept clean at all times.
• Maintain brochures, magazines and other information.
• Maintain photocopy machines and office supplies as required.
• Manage telephone enquiries on behalf of the company and ensure telephone is attended to at all times.
• Welcome visitors and direct them to the appropriate department.
• Arrange and distribute received documents to relevant department.
• Prepare requisition for offices supplies, furniture, equipment and services for repair.
• Manage Flight Bookings in coordination with HR
• Support several departments within Head Office to ensure daily requirements are meet
• Coordinates with creditors regarding invoices and releases cheques once ready for collection.
• Assists and support day to day functions of the front office.
