Evaluate organization vision, mission, structures, processes and people and recommend, design and facilitate implementation of solutions to ensure alignment with the Company’s overall direction.
Constructs an HR Plan in line with the business plan.
Determine all costs of operation of HR for input into the Organization plan’s financial forecasts
Manage core Performance Management and feedback processes. Develop manager capability on employing these processes and obtaining best in class results.
Ensure accurate and written job descriptions with clear job accountabilities, reporting structures and career paths
Establish salary guidelines for hiring and performance evaluations for each job within the organization
Coach employees on subjects such as career, leadership and performance development plans, compensation matters and assisting employees during implementation of change management initiatives.
Drafting or amending Policies in accordance with requirement and updating the Personnel Manual as & when required.
Performs other duties as assigned and deemed necessary under the direction of Managing Director.
Introduce, lead and influence change management initiatives with management staff in order to address issues that will enhance overall performance.
HR Administration and Reporting
Muster Roll – Verifying and signing monthly Muster roll for Staff.
Monthly Bills – Random checking/signing/monitoring/controlling all monthly bills of Telephones/Petrol/Utilities etc.
Signing of all leave applications/clearance certificates etc.
Daily Bills – Scrutinizing/Signing daily misc. bills submitted by staff from other departments as the authorized signatory.
Expenses – Streamlining of other dept. expenses such as air-ticket books etc.
Ensuring cleaning and hygiene inside office and factory premises.
Ensuring compliance to a strict vehicle management system.
Ensuring compliance to a strict phone-use control system.
Accommodation – Upgrading and improvement of sharing accommodation (as & when required).
Managing security at the and offices.
Development and management of workplace safety programs- at all facilities and show-site operations and overall environmental conditional
Develop and manage all safety programs as well as accident reporting
Ensure adherence of OSHA rules and regulations
Manages all workers’ compensation claims and represents the company at worker’s compensation hearings as needed.
Provide HR reports to the MD/CEO and relevant management on a monthly basis (or otherwise as directed) such as:
o HR Budget
o Staff turnover statistics
o Absenteeism, safety & compensation information
o Recruitment activities
o Visas and Cancellation data
o Performance review data
o Salary and benefits data
o Legal issues or internal and External disputations
o Learning & development activities
Legal matters pertaining to Labors and Employees – checking the legal aspects.
Clearing of files pertaining to employee-requests and making recommendations for approval of management.
Initiating disciplinary action such as issuing Show-cause notices/memos/termination letters etc. ensuring due compliance with labor regulations.
Counseling employees who behavioral problems affecting work and periodical follow-up with them to ensure that the problems are mitigated or reduced.
Interacting and rendering advice to all Department Heads on HR and employee issues.
Addressing employee concerns in relation to work environment/work atmosphere etc.
Coordination with the Department Heads regarding all issues.
Directly manages and supervises the receptionist and reception area.
Recruitment and Selection:
Supervise Recruitment – review Screening of applications/candidates under strict criteria. Conducting preliminary interviews to shortlist candidates and assisting MD/ED in interviewing final shortlisted candidates.
Ensure all roles to be filled have a position description and have been approved by the Manager’s manager
Build HR recruitment advertising templates to use in online or press advertising
Establish and co-ordinate panels of suitable Managers, employees or other stakeholders for the final interviews.
Determine salary, benefits and conditions associated with each position prior to the commencement of the recruitment activity.
Provide recruiting and hiring support by developing recruitment plans and implementing activities such as internal communication, placement of ads; reviewing resumes, conducting screening interviews, administer tests or KPIs evaluations, and reference and background checks.
Provide short-lists of best suited candidates to the recruiting manager
Discuss job offers with the recruiting manager and draft written offers or contracts based on these discussions.
Coordinating all Appraisals of staff to check for inconsistencies or anomalies and to suggest modifications.
Conduct Appraisals of HR/Admin Department personnel.
Overseeing the functions of the HRD and providing guidance and support to the HR staff on work related matters.
Responsible for ensuring all visa and labor office requirements are met.
Coordination with all the Group companies i-e, Local and overseas.
