Duties, Responsibilities & Accountabilities:
•ADIPEC & Young ADIPEC
•Coordinate with ADM team for Young ADIPEC students visit, to book the hall, catering etc.
•Giving presentation for young adipec students during ADIPEC
•Coordinating with MEPC hostess for the Client visit from stand to Petroleum club.
•To hire Hostess and Photographer for the ADIPEC Event, at best prices. Explain them their job description and the focal point for all doubts and clarification.
•In overall, liaise with DMG Events, and all other local vendors for delegate registration, Promotional items, printing and hospitality arrangements.
•Follow-up with delegates to register early and avail discounted price
•Outsource catering items through local vendor to save the cost
•Procure all items required for the event
•Assist all the WFT staff from UAE or other countries for the hotel booking, visa and registration.
•Visiting ADNEC pre-show and check for all the arrangements for the event.
•Registering, Collecting and distributing the Delegate, Exhibitor badges
•To monitor the tools / equipment s are packed properly and shipped back after the show
•Arranging PO s from Procurement team and follow-up for advance Payments and petty cash from Accounts if any
•Getting all necessary approvals
•Changing presentations / slides and AV during the show
•Coordinate with respective Countries Manager s for the client visit at ADM & WTTC
•Managing the stand with staff, presentation and AV during the show
•Coordinate with PLM for the in-booth staff
•Preparing in-booth presentation schedule
•Support in Kick off meeting slide presentation.
•To arrange pre-show meeting and explain all the details with intro, presentation schedule, do s and don ts during the event to attendees for the ADIPEC.
•Managing the stand with staff during the show
•Coordinating with local and RCK geozone for abstract submission and follow up with GOTECH team
•Coordinate with the corporate marketing team for graphics for the stand and follow-up
•Arranging tools / models for the event
•Getting necessary approvals from Legal, Compliance and finance
•Selecting the vendor for stand with all the required items for the stand.
•Preparing the in booth presentation and schedule
•Communicating both the geozone teams for stand duty staff
•Procuring all the items for the event
•Coordinate with PL Manager s to pre-qualify new product / services at ADNOC Portal
•Raise the project in XP to make all in one page for the required documents such as (PL, QHSE, HR, Finance etc)
•Meeting with ADNOC PQ Analyst on a weekly basis to follow up with pending PQ and clarify
•Having raised 12 PQ questionnaire and providing the details required by ADNOC
•Expression Of Interest (EOI) handling and response compiling. Clients requires comprehensive details in EOI s proposal e.g. ADNOC Onshore.
•Support in tender packaging, filling and correspondences (letter/faxes) part.
•Eventually we can train him further to support TCG on proposal parts.
•Preparing RFQ and submitting to the clients
•Getting approval from Product lines, Legal, Tax, Credit, HSE and Compliance for reviews of all Tenders and Contracts for ensuring the appropriate documents are duly filled prior submission.
•Creating tenders / contracts page and fill the respective fields. Processing it for functional, PL reviews/approvals. Contracts Status (Draft, Executed and Closed).
•Creating Reports (Opportunities, Tenders/Proposals, Contracts, In Hand Tenders, ., etc.)
•Xait Porter (XP): Project creation, naming conventions, creating sections & sub-sections, , etc. Working on live module for Tenders and proposals.
•Also support in Printing, Packing and submitting the tenders to the client
•Pre-Qualification requirements for other Clients e.g. BUNDUQ pre-qualification is almost tender submission.
Support on Subcontractors ICV
•Coordinate with WFT Vendors for ICV
•Work with procurement team to consolidate and pursue ICV from 3rd party suppliers and subcontractors
•This is a continues work that requires dedication and communication with hundreds of 3rd party for all our legal entities
Keep tracking form with all the subcontractors and their spending per financial year, and their impact of having their ICV certificate for our ICV score.
•Diploma or higher in commercial or business qualification
•Minimum of 1 years experience in similar role
•Proficient in MS Word, Excel
•Capability to work largely unsupervised
•Working knowledge of English written and spoken
•Required to work on a 24 hours call basis.
•Work assignments carried out to the highest quality level.
•Must understand and comply with quality, safety, and company policies of Weatherford.
Performs various other duties assigned by superiors within the physical constrains of the job
