Job Description
Roles & Responsibilities
Job Responsibilities:
- Record, prepare, and circulate accurate Minutes of Meetings in a timely manner.
- Ensure action points are assigned to responsible individuals with clear deadlines.
- Regularly follow up with internal teams on action items and ensure timely completion.
- Maintain an updated log of outstanding and completed tasks for management review.
- Organize and schedule internal and external meetings, appointments, and events.
- Manage the management team s calendar and ensure timely reminders and logistical arrangements.
- Arrange travel itineraries, hotel bookings, visa processing, and transportation.
- Handle travel expense claims while ensuring compliance with company policies.
- Handle sensitive and confidential information with discretion.
- Draft, review, and manage official correspondence, memos, and reports.
- Ensure clear and timely communication across departments and external stakeholders.
- Manage office supplies, maintenance, and overall administrative operations.
- Coordinate with vendors, service providers, and building management as required.
- Maintain proper filing systems (physical and digital).
- Provide executive assistance, including report preparation and presentation support.
- Prepare agendas and briefing materials for management meetings when required.
- Perform any additional administrative duties assigned by management.
- Contribute to the continuous improvement of administrative processes and efficiency.
Job Requirements:
- Bachelor s degree in Business Administration, Management, or a related field.
- Minimum 5 years of experience in office administration or office management.
- Real estate industry experience is mandatory.
- Excellent written and verbal communication skills in English (Arabic is an advantage).
- Strong organizational, coordination, and multitasking abilities.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- High level of professionalism, confidentiality, and attention to detail.
- Strong interpersonal skills with the ability to work collaboratively across departments.
- Ability to draft, review, and manage official correspondence and reports.
- Experience in calendar management, travel coordination, and meeting scheduling.
- Understanding of office operations, vendor management, and filing systems.
- Ability to work collaboratively across departments and support senior management effectively.
- Experience tracking action items and following up on meetings.
- Proven ability to improve administrative processes and office efficiency.
- Exposure to real estate industry processes or support functions.
