Roles & Responsibilities

Administrative management & office coordination

  • Ensure the smooth operation of the offices (reception, logistics, supplies, maintenance).
  • Manage relationships with local service providers (suppliers, general services, maintenance, telecoms, etc.).
  • Organize travel, meetings and internal events.
  • Supporting the RAF in the management of administrative, tax and HR documents.
  • Supervise the physical and digital archiving of documents (contracts, invoices, etc.).

Legal and paralegal support

  • Prepare, track and classify legal documents related to external firms (contracts, NDAs, leases, formalities, etc.).
  • Assist in drafting, proofreading and updating customer, supplier and partner contracts.
  • Ensure documentary compliance with local Dubai requirements (licenses, visas, authorizations).
  • Coordinate exchanges with local authorities, free zones and law firms.
  • Follow the schedule of legal opportunities (renewals, audits, signatures).

HR Support & Recruitment

  • Assist in coordinating the recruitment process (interviews, onboarding, administrative follow-up).
  • Prepare hiring documents and manage visas and administrative registrations with HR partners.
  • Participate in the implementation and monitoring of internal policies (leave, absences, compliance).

Synergy with the RAF and the Chief of Staff

  • Working closely with the RAF to ensure smooth management of financial and legal documents.
  • Ensure the smooth flow of information between operational, financial and HR departments.
  • Supporting the Chief of Staff in the overall coordination and implementation of internal processes.

Desired Candidate Profile

Rigorous, autonomous, and possessing excellent organizational skills. Capable of working in a demanding, international, and rapidly growing environment. Diplomatic, responsive, and discreet, with a strong sense of confidentiality. Solution-oriented, with a proactive and structured approach. Comfortable with intercultural and professional communication.

Experience: 3-7 years of experience in Office Management, Executive Assistance, Legal, or Paralegal work. Ideally within an international company or an entrepreneurial environment in Dubai. Experience in multi-country administrative coordination is a major asset. Language skills: Native French required. Business-level English (written and spoken) at a minimum. Technical skills: Excellent command of Microsoft Office/Google Workspace. Good knowledge of electronic signature tools (DocuSign, Dropbox Sign, etc.). Knowledge of document management and HR tools (Notion, Deel, Zoho People, etc.). Familiarity with legal and administrative procedures in the United Arab Emirates.

Career development prospects: natural progression towards a role of Administration & Office Management Manager. Possibility of expanding responsibilities to include legal coordination and support to the General Management.
