POSITION SUMMARY
The Operations Executive manages all the administrative side of the business with our internal boutiques, including and not limited to:
• Functions as the link between internal boutiques, local logistics, sales administration team in Dubai and external suppliers (e.g. perfumes).
• Coordinates and supports the local operational tasks related to the internalization of boutiques
• Data entry into the system
• Referencing management
• Retail stock & sales reporting follow-up
• Straps and PLV management, ensuring optimal availability and rotation
• Ensure all operations are compliant with VCA and Richemont standards
The Operations Executive handles ad-hoc projects to implement new processes or new tools.
MAIN MISSIONS
• Internal boutiques stock management
• Monitor the stock of internal boutiques
• Ensure the right balance of stock between the boutiques according to their model stock
• Ensure the right level of stock for PLV and conditioning
• Analyze the level of perfumes boutique stocks and place order to supplier
• Analyze the level of straps boutique stocks and place order with Dubai Sales Administration team.
• Internal boutiques sales monitoring and analysis
• Monitor monthly retail sales report
• Perform end of month analysis regarding top categories, references sales
• Perform analysis on the performance of the staff linked to the objective of increasing sales in term of quantity (avg sales by invoice, average number of pieces sold by invoice, number of invoices, etc.).
• Commercial Communication with internal boutiques
• Communicate with the internal boutiques with regards to product availability, delivery timing, etc
• Process, follow-up and update the Sales Associates on retail CCLs and Special Orders (status, delivery timing).
• Permanent back up to stock administrators in our boutiques to ensure smooth transfers or consignments
• Contact with Retail Back Office in case of any new process
• Administrative work
• Follow-up transfers between internal boutiques.
• Ensure the fastest delivery in boutique during HJ rotations whether it is for client presentation or events.
• Inform Import team prior to shipment about all movements coming to Dubai to anticipate clearance and put away.
• Ensure the update of any consignment out activation or cancellation with local teams or third parties.
• Marketing Support
• Support Marketing team on an ad-hoc basis for all logistics needs if and whenever there is a particular need (Important event, Exhibition, etc.)
• Close follow up with Product Managers and Dubai Sales Administration team about any expected rotations in and out
• Project Management
• Coordinate ad-hoc projects on the implementation of new tools and processes between boutique team, office team, Dubai team and/or external suppliers.
• Continuous improvement
• Propose improvement on our processes and tools to optimize our business efficiency
