Job Description
Roles & Responsibilities
- Receive and handle requests from the Operations Supervisor.
- Open job forms and fill them out completely for each job forwarded to you.
- Ensure all documents required for shipments are complete and all details are correct.
- Send requests for legalized invoices.
- Coordinate with truck suppliers and drivers regarding truck details and inform via email with updates.
- Follow up on the collection and handling of shipments.
- Update clients on the collection status and shipments through emails and phone calls.
- Follow up with suppliers regarding the whereabouts of the trucks and provide specific instructions to the drivers.
- Prepare delivery notes and give them to drivers to ensure the proper delivery of shipments.
- Send pre-alerts to the agent/broker at the border and final destination.
- Follow up with brokers at the borders regarding the shipments.
- Communicate with relevant people in the warehouse companies by: a.) Sending pre-alerts about the arrival of shipments. b.) Arranging for palletization. c.) Arranging for labor entry as needed for offloading/reloading the shipments.
- Update the daily trip/update sheet regarding the status of the truck.
- Prepare forms for the turnover of documents.
- Inspect shipments during offloading and reloading regarding the following: a.) Quantity - Check if the weight, type of commodities, and number of pieces stated in the invoice are correct. b.) Quality - Check if the shipment is damaged or wet and update the status via email.
- Accept and verify invoices from suppliers with attached delivery notes.
- Be flexible and able to work across various departments within Safeway as required.
Desired Candidate Profile
- Bachelor's degree in Logistics, Supply Chain Management, or a related field, providing a strong foundation in operational principles.
- Minimum of 2 years of experience in freight and logistics, showcasing a proven track record in managing complex transportation operations.
- Familiarity with international shipping regulations and customs procedures, essential for navigating global logistics challenges.
- Demonstrated ability to work under pressure, managing multiple priorities effectively in a fast-paced environment.
- Adaptable and proactive attitude, able to embrace change and drive continuous improvement in operational processes.
