Roles & Responsibilities

Role Purpose: To ensure accurate and timely preparation, review, and processing of Home Finance contracts in accordance with Sharia approved templates, internal policies, legal standards, and regulatory requirements. This role supports the mortgage sales and operations teams by facilitating a smooth contract execution process and ensuring customer satisfaction. Operation Officer also ensure smooth operations of daily routine work to be carried out without any major hurdles and ensure that client [business] served well to carry on the daily operations. All these need to be carried within defined policy and procedures. This position ensure the Bank is always protected with appropriate source documents, legally enforceable charge documentations/Securities and monitored through a follow up system for routine actions.

Key Accountabilities of the role :

  • Contract Drafting & Review: Prepare and review home finance agreements, addendums, and related documentation, ensuring accuracy, compliance, and alignment with approved terms and conditions.
  • Documentation Verification: Ensure all pre-contract documentation (e.g., offer letters, approvals, customer KYC, and title deeds) are complete and validated before contract preparation.
  • Disbursement Kit Review: Review the full disbursement kit to ensure completeness and accuracy of all required documents (e.g., contract, title deed, NOC, payment request, insurance, and valuation report) prior to loan disbursement.
  • Custodian of Contract Templates: Act as the custodian of all mortgage contract templates, ensuring they are updated, securely maintained, and reviewed periodically in coordination with the Legal department to reflect regulatory and policy changes.
  • Compliance & Quality Control: Adhere to internal guidelines, regulatory requirements, and legal standards to mitigate risks and ensure contract and disbursement readiness.
  • Stakeholder Coordination: Liaise with internal departments (Sales, Credit, Legal, Risk) and external stakeholders (developers, brokers, and customers) to resolve discrepancies and ensure contract readiness.
  • System Updates & Reporting: Accurately update contract data in core systems and maintain contract logs for reporting, audit, and MIS purposes.
  • Timely Execution: Ensure contracts are prepared and dispatched within agreed turnaround times to support the timely disbursal of mortgage loans.
  • Handling High Volumes: Manage large volumes of contract requests efficiently while maintaining accuracy, quality, and compliance with SLAs.

Previous experience required (if any) 1-2 years of banking experience in UAE in Retail Mortgage Operations
