Job Description
Position Summary
The Performing Arts Department Assistant provides administrative assistance and general support to the Performing Arts department under the direct supervision of the Theatre Director. He/she will support logistics related to the theatre department such as ticket sales, performances and will coordinate the maintenance of equipment and instruments.
The Performing Arts Department Assistant will interface with faculty, staff, parents, students, parent organizations (i.e., PTSA, CAST) as well as external organizations and vendors. The Performing Arts Department Assistant will demonstrate a passion for the Arts and a willingness and ability to work flexible hours to meet the demands of the performance and event schedule.
ASD employees are responsible for safeguarding students and agree to abide by all child protection policies and procedures, and agree to participate in all child protection training as mandated by the School.
Primary Responsibilities:

Serve as the main point of contact for the Arts Department.

Maintain the department s professional memberships.

Assist with the organization of annual awards.

Use existing school tools as well as other creative tools to promote Arts participation within the community.

Maintain up-to-date events for the Arts department.

Support Arts teachers/coordinators in the organization and communication of Art Department events (ie.MESAC, AMIS events, and other organizations) to include the following, as required:

Prepare event program and directors information packets.

Publish student housing list and prepare host family handbook.

Coordinate student s payment of event participation fees where applicable.

Assist with Arts Department communications.

Design and print certificates for students as required.

Communicate with faculty and students participating in events, concerts and productions.

Prepare and mail thank you letters to host families.

Send preliminary and final rosters to hosting schools.

Support the logistics related to hosting Performing Arts department events.

Be present at ASD hosted Arts events, as required.
Liaise with:

the ASD travel coordinator regarding student travel.

the facilities coordinator regarding facilities bookings.

the travel coordinator regarding all Performing Arts travel, hotel, transportation needs.

Coordinate volunteer program to support the Arts.

Assist in the coordination and briefing of ushers at performing arts events.

Maintain inventory (scores, scripts, costumes, props, school-owned musical instruments).

Ensure security of department resources.

Coordinate equipment maintenance, as required.

Coordinate the sale of tickets in collaboration with CAST (Creative Arts Support) and relevant event director.

Prepare extra-curricular Arts stipends.

Update and maintain Arts department information on the website.

Prepare and distribute MESAC non-athletic activities calendar.

Update bulletin boards for events.

Support the CAST Team with PTSA (Parent, Teacher, Student Association) scheduling and communication.

Skills & Requirements
Required Qualifications

College, technical or professional degree in a related field.

Prior relevant experience.

Tactful and professional front office skills.

Excellent English communication skills (written and spoken).

Proficient working knowledge of various computer programs.
Preferred Qualifications

Five or more prior years of experience in a related field.

Experience in an educational setting preferred.
Terms of Employment
This position is classified as a non-sponsored support staff position. General working hours are 7:45 am - 3:45 pm Sunday through Thursday. The successful candidate must be willing to work flexible hours during times when his/her presence is required during school performances and/or events. An annual limited period contract will be issued stipulating 186 working days within the year, as per the school s published calendar.
