Key tasks
The main purpose of the role, Personal Assistant to the GM, is to support the Executive with all secretarial and office duties. The individual is responsible for handling and managing all administrative matters within the day-to-day operations of the Executive Office. As part of the nature of the job, it s imperative that the individual maintains under utmost confidentiality, whilst ensuring fluid communication with the GM.
Establishes business correspondence, filing systems, memoranda, reports and forms, including those of a confidential nature.
Minute taking in meetings and distribution to relevant colleagues, including preparing correspondence on behalf of the GM through dictation.
Answering, filtering and channelling phone calls.
Coordinating the GM s schedule, ensuring he is always fully briefed, and assisting any visitors.
Managing the receipt and dispatch of incoming and outgoing mail.
Office management, ensuring the proper handling, use and maintenance of equipment and supplies; Maintaining own area and GM s office.
Establishes in co-ordination with the Hotel Manager and/or the General Manager the monthly planning of the manager-on-duty roster for the department heads.
Administers the gathering of necessary data in order to establish weekly attendance forecast for Department Heads; working days and days off for GM s overview.
Maintains a monthly overview of vacation and public holiday balance of her department and delivers a monthly consolidated summary to the Director of HR.
