SHARE JOB Job Summary Working within a highly professional team in a busy department, the Program Assistant provides key administrative and logistics support for the efficient and professional delivery of HEC Paris’ executive education programs. Responsibilities Managing various aspects of program administration from start to finish including but not limited to registration and attendance records, Intranet accounts, distribution of textbooks and course materials. Preparation and production of training materials sent by Professors. Responding to the requirements of participants and faculty at all times. Being available in class throughout assigned programs to deal promptly with any problems, e.g. technical issues. Provision of support to visiting Professors including but not limited to travel arrangements. Ordering of case studies, textbooks and course materials. Coordination of program delivery and organization of special events including venue setup and readiness. Liaison with HEC Paris campus when and as required. Interface with suppliers Program quality monitoring and evaluation including collection, analysis and reporting of feedback. Working closely with other team members to provide administrative and logistics support as required. Comply with any and all reasonable requests. Company Industry Banking / Financial Services / Broking Department/Functional Area Administration Desired Candidate Profile Minimum Requirements: University degree in a relevant area of expertise or at least 5 years equivalent experience. Proficiency in Microsoft Office (Power point, Excel and Word). Track record in fostering relationships with various stakeholders. Experience of proactively managing third party contractors ensuring they deliver. Excellent interpersonal and intercultural skills, together with the ability to work collaboratively and courteously with different stakeholders. Ability to manage multiple short and long term projects. Ability to work extended hours several days per month is a must. Ability to anticipate problems and generate solutions quickly. Ability to work under pressure in a busy environment. Excellent verbal and written communication skills in English, French and/or Arabic a plus. Energetic, strong work ethic, initiative, an eye for detail and quality conscious. Enthusiasm for teamwork and collaboration. Ability to do some lifting of supplies and equipment from time to time.
