Job Description
Responsible to represent and transact with all government departments to procure & renew licenses, approvals, certificates, attestation, authentication etc. for the company to smoothly carry out all business related activities;
Maintains relationships with specific & required departments within the ministries or offices of Labor, Immigration, Municipality, Public Works, Civil Defense, Etisalat, Water & Electricity, Chamber(s) of Commerce, Health, Traffic & Licensing, Planning etc.;
Arranges and prepares all necessary documents, copies, charts, drawings etc. for proper presentation to government authorities in order to receive approval;
Processes employment / visit visas requested by management in order to facilitate business needs in timely manner;
Follows up with all the employees visa renewal process for timely renewal in order to avoid penalties and other legal consciences;
Maintains proper employee records regarding sponsorship details, visa, residence permit, labor card, cancelation or renewal of visa in order to generate reports of employees as and when required by the management;
Supervises Final clearance procedure and visa cancellation for all TTEOM employees and their dependents;
Follows up with Labor & Immigration department on regular basis to obtain latest information in rules and procedures to facilitate visa processing in order to keep track with changes and updates requirements of the ministry;
Coordinates with the Health department for heath cards and medical certificates in order to facilitate visa stamping in timely manner;
Liaises with the concerned authorities to obtain/renew/change/cancel in part or full the activities on the trade license and company registration;
Liaises with TTEOM Head of Public Relations on Gate Pass issuances and/ or problems arising with security clearances and in emergency situations, in absence of Head of Public Relations;
Performs any other duties as assigned by line manager;
Making arrangements to receive visitors at the airport, as and when required and advised. This includes coordination with other staff within the administration department for transportation / hotel facilities if requited;
Provides regular feedback for inclusion in the department's monthly report;
Soft skills:
Communication: English and Arabic speaking and written skills are essential
The job also requires excellent communication skills in order to interact with all internal & external customers;
Flexibility: willing to work long hours and weekends if required (periodically);
Speech analysis;
High level of inter-personal skills;
Must maintain a very high level of confidentiality at all times;
Must be a strong team player;
Attention to detail;
b. Technical skills:
Computer literate: high degree of knowledge and experience in business based computing application such as Databases, Word Processors and Spreadsheets;
Detailed Knowledge of Ministry procedures is a must as well as versed with labor laws;
Knowledge of administrative and clerical procedures and systems such as word processing, management of files and records, designing forms and other office procedures and terminology;
UAE driving license;
Must have excellent time-management skills demonstrating the ability to use own initiative and work independently.
c. Leadership skills:
Organization & planning skills.
High School Diploma OR any equivalent combination of experience
