Job Location : Dubai
Job Purpose:
Reporting directly to the CEO s Executive Assistant/ Office Manager, the Receptionist is the first point of contact for any visitors to the office or anyone contacting an organisation.
The Receptionist will be responsible for delivering the highest standards of customer service to all Averda internal employees and external visitors.
Key duties include greeting clients and visitors to our office, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.
The role holder will also ensure that the reception at Averda house Dubai maintains the look and feel of the Averda brand and provide administrative support to the Executive Assistant/ Office Manager.
To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. Prior experience as a receptionist is essential.
Key Accountabilities :
Welcome visitors ensuring that they are greeted properly, offered refreshments, details recorded and appropriate visitor s badge are well issued and monitored.
Manage the switchboard ensuring that all calls and messages are recorded and directed accordingly
Ensure that list of extension and mobile numbers are regularly updated in close coordination with IT and the wider Admin team
Ensure that all outgoing and incoming deliveries are recorded and distributed accordingly
Manage the office attendants ensuring refreshments and appropriate set-up are provided in the meeting rooms as requested
Receive and record request for stationeries and coordinate distribution
Monitor and report all maintenance requirements at the reception and other areas of the office as necessary
Assist Executive Assistant/ Office Manager with arrangements for internal and external events such as meetings, workshops and conferences.
Requirements :
Should be located in Dubai and Sharjah
High school diploma and above
Minimum of 2 years work related experience preferably in an international company
Knowledge, skills and abilities :
A pleasant personality and a cheerful disposition
Excellent Customer Service Skills
Intermediate to advance knowledge of MS office suite
Excellent spoken and written English; Arabic and French a plus
Experience in events management
Ability to multi-task with a systematic approach to work
