Job description
To receive, direct and host all personnel visiting Kuehne + Nagel Dubai in a professional and helpful manner in order to provide the visitor with a first class impression of the company and to provide support to the Business for priority meetings and functions. An exceptional telephone manner and an ability to work well within a team are essential.
Your tasks and responsibilities
• Provide a high quality reception service for all visitors and staff. Also, ensure that all visitors and colleagues are dealt with efficiently so that an exceptional high standard of service is provided at all times.
• To create an excellent first impression of the company by ensuring immaculate self-appearance and professionalism at all times.
• Monitor all Front of House areas e.g. meeting room, reception area etc. To ensure that they are always tidy and presentable and take corrective action where necessary and to be proactive and effective in the co-ordination and monitoring of meeting room bookings while taking into consideration the practicalities/demands of other departments and clients.
• Provide technical advice, secretarial support and general assistance to guests, presenters and management team when required.
• Maintain the reception areas to the highest standard and assist, when required, to maintain meeting rooms and support areas.
• Communicate visitor and client arrivals to the relevant people promptly so that the visitor or client is either met or escorted to the relevant meeting room / area in a timely manner.
• Collate and maintain a visitor database and where appropriate send information packs to individuals in advance of their visit. Provide maps, location and travel information as required.
• Log in visitors and issue security passes in liaison with Facilities department.
• Co-ordinate on a daily basis the delivery of services e.g. couriers, mail/post, taxis/transport etc.
• Assist with the organising and setting up of events held in the building.
• To enforce and comply with all company policies and procedures which are fundamental in maintaining effective performance, communication and good business reputation.
• Answering the telephone in a timely manner using the correct greeting, screen and direct appropriately.
• Ordering stationery, grocery and coffee consumables
• Provide administrative support to management as and when requested
• Booking hotels and flights as and when requested
• Inform management of any security related issues
• Invoicing dispatching coordination (operations, messenger, couriers)
• Day to day coordination with KN Security
