Job Title: Receptionist
Reports to: Shift Leader
Replaced by: Receptionist
Basic Functions:
Under the guidance and supervision of the Front Office Manager and within the limits of established The RAY Hotel & Studios policies and procedures, is responsible for checking guests in and out of the property and answer to their inquiries during their stay
Duties & Responsibilities:
o Have a thorough knowledge of the hotel policies and procedures
o Abide to hotel rules and regulations on grooming and appearance
o Have a thorough knowledge of Hotel services, products and special promotions
o Attends daily briefing with the FO Department
o Provide quotes for room rates and up-sell the guest when possible.
o Assist in coordinating the Front Desk and the Housekeeping Department.
o Verify that the correct charges and credits are posted to the corresponding guest folio.
o Collect payment for charges on the guest folio.
o Ensure all cash and cash equivalents are accounted for and balanced at the beginning and end of each work shift.
o Responds to guest inquiries.
o Provide administrative, reception and program support to management and staff.
o Manage phone activity including providing general knowledge to callers.
o Manage walk-in traffic. Sign in guests as needed. Smile and greet customers in a welcoming manner.
o Register and assign rooms to guests.
o Resolve guest complaints within scope of authority; otherwise refer the matter to the management.
o Check in and out guests according to their reservations
o Performs upgrading to guests according to policy
o Ensures proper coordination between room service, housekeeping and front desk at all times
o Assist in assigning guest rooms with the Reservations function at TPHRS
o Performs any other duties as assigned by management
Qualifications:
o A degree in Hospitality Management or its equivalent
o A minimum of 2 years experience in a similar position
o Possess knowledge in the PMS system used on the Front Desk
o Excellent communication, organizing, and planning
o Ability of working under pressure and for long hours in a standing position
o Hospitable and helpful toward guests and employees.
o Possess attention to details
