Job Description

Roles & Responsibilities

  • Manage the entire RMA process, from initiation to resolution, ensuring customer satisfaction and adherence to company policies.
  • Evaluate RMA requests, determining eligibility based on warranty, product condition, and return criteria to minimize losses.
  • Coordinate with shipping and receiving departments to facilitate the physical return and inspection of defective products to maintain inventory accuracy.
  • Communicate effectively with customers via phone and email, providing RMA updates, resolving inquiries, and offering support.
  • Collaborate with technical support and quality assurance teams to diagnose product issues and determine appropriate resolutions.
  • Process RMA documentation, including generating labels, tracking shipments, and maintaining accurate records within the CRM system.
  • Analyze RMA data to identify trends, pinpoint recurring product defects, and recommend process improvements to reduce returns.
  • Oversee the repair or replacement of returned products, coordinating with vendors or internal teams to ensure timely resolution.
  • Ensure compliance with all relevant regulations and company policies related to product returns and customer service.
  • Continuously seek opportunities to optimize the RMA process, reduce costs, and improve the overall customer experience.

Desired Candidate Profile

  • Diploma/Degree or equivalent is required.
  • Possesses at least 2 years of experience in customer service, returns, or a related field.
  • Experience with ERP or CRM systems, such as SAP, Oracle, or Salesforce, is highly preferred.
  • Demonstrates a strong understanding of RMA processes and warranty policies.
  • Excellent communication and interpersonal skills to interact with customers and internal teams effectively.
  • Demonstrates proficiency in Microsoft Office Suite (Excel, Word, Outlook) for data analysis and reporting.
  • Must be detail-oriented with strong organizational and problem-solving skills.
  • Ability to work independently, manage multiple tasks, and prioritize effectively in a fast-paced environment.
  • Ability to remain calm and professional under pressure, particularly when dealing with difficult customers.
  • Familiarity with international shipping regulations and import/export procedures is a plus.
