Qualification : Graduation with Good knowledge in English
Determines and implements the procedures and standards of an effective filling system for the various business segments
Maintains and updated inventory control of all gifts and giveaways
Maintains an up-to-date operating manual of the department, comprising policies and procedures, rules and regulations, forms and forms-flow
Compiles monthly reports to be completed by 5" of each month
Assists with the co-ordination of direct mail and campaigns on behalf of sales and marketing, labeling, data collection and distribution of mail items
Ensures the efficient liaison between the sales office and other sales offices in sister hotels, including the distribution of our sales correspondence and
literature to other hotels
Compiles leisure data and revenue statistics on a regular basis with DOSM
Completes special projects as delegated by DOSMI
Utilizes standard letter format for general enquiries, memos, faxes, contracts, account benefits, account facility enquiries, follow-up Fame trip/ exhibition/ sales blitz letter
Maintains and updates directory entry file
Ensures all contacts are issued within 48 hours of request Updates client postcode and city files
Annual contract administration for commercial and leisure business
Co-ordinate weekly activity schedules, revenue generated reports, annual contract administration for commercial and leisure business
Ensures that appropriate stores requisitions are submitted monthly Ensures that business cards are never exhausted
Ensures that miscellaneous items are purchased as needed with approval of the DOSM
Ensures sensible and effective use of the telephones all incoming calls are promptly answered in an agreed manner
Ensures that calls are screened and dealt with in an appropriate way. All enquiries to be dealt with within 48 hours
Ensures that all messages are noted with company and contact name and time and date of call
To make sales appointments on behalf of the sales team in their absence and within guidelines of DOSM
To assist telesales research of existing/new clients within guidelines of DOSM
To assist reservations within guidelines of DOSM (mainly in production of quantified statistics)
Daily site appointments for site- inspections, meetings, etc. must be kept-to-date. Time and venue for appointments must be confirmed to all parties concerned
Ensures guests and visitors with and without prior appointments are not kept waiting unnecessarily or inconvenienced
Monitor closely diaries of sales team
Sorts all incoming mail for the attention of the Sales and Marketing Director and Sales Department.
All correspondence shall be reported to within 24 hours
Ensures that all going correspondence is free from typographical and grammatical errors
Ensures that all outgoing contracts and letters are vetted by sales and Marketing Director before being mailed
Ensures the strict confidentiality of special information passing through the office opening and reading of sales post and taking appropriate action in their absence
To complete sale reports within the agreed standard format
Assists sales and marketing Director with the preparation and compilation of reports
Records minutes of all meetings conducted by the Sales and Marketing Director and any others as when directed by the Sales and Marketing form time and time.
Distributes the minutes of sales and marketing meetings
Information must be collected and dissemination in a timely fashion
Information for dissemination must be clear, concise, timely and relevant
Stored information must be easily retrieved, when required
Ensure office equipment used are handled in accordance to manufacturer's instructions and specifications & Procedures, to control and minimize breakdown/spoilage
Ensures servicing schedule of all office equipment are adheres too
Maintains the highest standards of professional, ethics and attitude towards all hotel guest, clients and fellow colloquies
To be responsible for confirming all travel arrangements for business sales trips within guidelines as agreed by DOSM
