Primary Responsibilities:
1. Conducts as per sales policy and practice established by the sales and marketing, corporate sales & marketing and the hotels.
2. Ensures smooth running operation of the division s administrative functions.
3. Cooperates with all departments to ensure the accuracy of information issued.
4. Follows and provides feedback to the superior of ways to improve the sales and marketing standards and policy.
5. Reports on confirmed and anticipated bookings for forecasting purposes.
6. Liaises with rooms & guest services, reservation, and banquet department.
7. To contact potential business leads, keeping control of heavy booking dates as per advised by sales manager/ assistant sales manager.
8. Corresponds with group contacts.
9. Maintains close contract with travel agents, local business groups and airlines.
10. Liaises with concerned departments to ensure that operations will deliver the best quality products to the clients.
11. Performs other duties as assigned by supervisor.
Administrative Responsibilities
1. Assists sales team members in organizing the filing system of the department.
2. Assists devote whiz and/or assistant sales manager in submitting monthly report to director of sales on monthly basis.
3. Ensures that the stock of stationery items are accounted for and well maintained.
4. Organizes the recording system for all in-coming and out-going correspondences.
5. Handles all typing work required.
6. Assists in the dispatch and collection of correspondence in hotel.
7. Takes minutes of meetings.
8. Ensures the cleanliness of the office.
9. Handles all incoming telephone calls and take messages and follow up.
10. Prepares & checks all in-coming communication messages such as facsimile and e-mail messages.
11. Assists in the packing of materials when required, eg. hotel brochures, sales kits etc.
12. Issues on a weekly basis for a further details and status of residential meeting groups to sales persons. therefore, if confirmed correct information to be re-entered, if cancelled such space can be released.
13. Updates production reports of corporate & travel agents monthly, quarterly and yearly.
14. assists the director of sales and sales team members in issuing travel agents contract rates, questionnaires as requested.
15. Ensures that all complaints are reviewed and investigated by director of sales and follow-up action is initiated by Sales persons.
16. Closely co-ordinate with d2pa s sales office in Bangkok in order to submit all require correspondent.
Technical Responsibilities
1. Knows, understands, and reviews the job description given.
2. Knows and understands policies of the department well.
3. Recognizes and able to manage to maintain good quality products and presentation.
4. Checks, reviews, and proposes service standards established by the company.
5. Provides assistance to colleagues when required.
6. Maintains self grooming standards.
7. Manages wastes by reducing and recycling the wastes, carefully use of resources.
Commercial Responsibilities
1. Communicates effectively with guest, clients, business partners and staff.
2. To be a good sales person to promote hotel s image and businesses.
3. Participates community projects or activities in order to promoting the hotel s image and cooperation to improve community relationship.
