Job Summary
The Supply Chain Executive is responsible for office supply planning, managing supply orders, prices negotiation, supplier s contracts, supply delivery and quality to meet divisions needs on time, and efficiently.
The Supply Chain Executive should ensure that sufficient availability levels of all office supply are held in the company s premises at all times.
Duties & Responsibilities
1) Shipment Management:
• Manage all company shipments starting from the foreign supplier s confirmation until the shipments clearance with coordinating with logistics department;
• Handle all enquiries for airfreight & sea freight shipments with logistics department;
• Follow up with our suppliers for original shipments documents;
• Follow up with Finance on LC docs and coordinate with Banks for the same;
• Prepare all the documents for shipment & coordinate with agents for clearance with logistics department;
• Obtain the approval from Dubai Municipality for dangerous goods & arrange for clearance;
• Arrange for the Certificate of Origin online application and submission;
2) Procurement Management:
• Work closely with all divisions to understand what supplies are acquired, supplies specs, when they will be needed and make sure it arrives on time at office premises;
• Create and process purchase orders and change orders;
• Purchase all office materials, office equipment s, office supplies, and other items / equipment;
• Create reports on cost savings and price comparisons;
• Looking after supplier contracts, review T&Cs, negotiate fees;
• Negotiating deals, with a strong cost-consciousness and conduct cost analyses on procured office supplies;
• Prepare requests for quotes and develop new supply sources;
• Obtain quotes from current and alternate suppliers;
• Preparing LPO/requisition for local purchase and for all office requirements;
• Manage company s LPOs Local Purchase Order entry in the Stock Module System;
• Establish and maintain communication and a solid relationship with suppliers;
• Maintain complete and accurate purchasing records and organize and maintain supplier s files;
• Ensure company purchasing guidelines and procedures are followed;
• Ensure products are ordered according to proper specs;
• Work with Finance dept. to ensure that key suppliers are paid in a timely manner. Understand and stringently follow purchasing ethics;
• Audit and follow up on purchase orders to ensure accuracy of purchase agreement and delivery time;
• Resolve routine delivery, quality or other related problems with purchases and invoices;
• Evaluate the current suppliers every quarter and trying to get more benefits from them to the company;
• Knowledge transfer and provide: coaching, Mentoring, Knowledge Share, and Technical Training team members routinely;
• Minimum Bachelor Degree in Business Administration/ relevant Supply Chain Certificate.
• Excellent verbal and written English communications skills;
• Strong problem-solving skills, basic research and resolution skills, data analysis and multi-tasking skills;
• Excellent knowledge of Excel;
• Strong attention to detail and accuracy;
• Excellent time management, planning, and organizational skills;
• Strong sense of urgency.
• 3+ years of experience in Supply Planning, Procurement, Logistics, and Shipment Management in UAE;
• Relevant experience in Suppliers Relationship experience;
• Proven multiple Supply Chain tasks management with challenging deadlines.
