Job Description

• Ensure that all the operational protocols and standards are implemented and followed in the clinic.
• Ensure strict adherence to the SOP.
• Ensure that the front office customer care and insurance staff are well oriented and trained about the processes and protocols.
• Initiate deliberate and relevant measures to reduce the patient waiting time and smooth flow of patients through various departments.
• Create a customer friendly front office team
• Ensure the best telephone handling practices
• Effective utilization of customer service team as “usher”
• Minimize the wastage and ensure effective utilization of resources
• Explore the possibilities of “department line” expansion. Ex: starting new departments, getting doctors on visit, setting up new departments like Physiotherapy, Lab, X-ray etc.
• Prevent from losses due to outsourcing Lab and Radiology services to external parties.
• Ensure that all valid statutory documents are maintained in the Centre
• Ensure monthly execution of Quality audits
• Identify the true potential of each of the clinic and promote it accordingly
• Identify the relevant target and customize marketing activities in coordination with marketing department and operations management team
• Achieve unit objectives in terms of Sales, Brand Image, Business development and Market presence of the unit
• Organize and conduct medical camps, seminars, etc periodically.
• Develop patient base through various internal and external marketing activities.
• Engage in effective and positive communication with existing clientele
• Closely monitor the marketing activities and carefully study the response to the marketing activities.
• Liaison with Asst. Operations Manager, and Corporate relations team to ensure the corporate client base.
• Monitor and ensure timely insurance claim submission, follow up on rejections and resubmissions.
• Follow up on the insurance empanelment.
• Conduct customer feedback survey as per the protocols
• Achieve targets, revenue, Gross Profit of the unit
• Ensure overall profitability of the unit
• Conduct internal unit level staff meeting to review performance
• Organize training and development programmes for front office, nursing, insurance staff and insurance coordinators
• Identify future prospects and initiate measures to nurture this
• Identify under performers and take effective measures to improve the performance by means of training and orientation
• Establish a system to track and monitor the training and development of the team
• Suggest the methods and implement the same to maintain high morale values of the team and to unite them with strong team spirit
• Project the HR requirements in advance and do the necessary measures in coordination with Operations team & HR department to fulfill the staff requirements
• Ensure the upkeep and inventory of fixed assets
• Ensure that stock accuracy is maintained throughout
• Ensure that all the staff members are following the grooming protocols
• Ensure that the unit is maintained well with proper lighting, equipments placing & other protocols
• Ensure Dust free & hazard free environment in the clinic
• Support the management in overall functioning of the medial centers. To assist management in all medical and Physician related concerns at the unit level
• To represent the medical centers in front of various authorities
• To support the management in dealing with patient complaints related to clinical quality
• To create a healthy and harmonious working relationships among different specialties in the medical centers
• Acquaintance to various Govt regulations and rules related to functioning of the medical centers
• To attend regular CMEs and encourage colleagues to attend the same.
• Oversee and manage all inspectors from various govt authorities in the medical centre
• Supervisor Unit associates with Operations Manager, Nursing Manager and CRM Manager to ensure the smooth functioning of the unit

Desired Candidate Profile

Ideal candidate should be a postgraduate with relevant healthcare operations executive. Should possess excellent communication & interpersonal skills, agile, passionate and demonstrate leadership.
