Job Description

Roles & Responsibilities

  • Reception of access permit application files (employees, subcontractors, visitors, stakeholders) and verification of the conformity and completeness of the required documents.
  • Registering requests and updating tracking records (receptions, deliveries).
  • Preparing and delivering access permits in accordance with internal procedures in force.
  • Updating the permit tracking database (active, expired, renewals, suspensions).
  • Preparing correspondence and completing the forms required for permit applications and renewals.
  • Follow-up of files (reminders, missing documents, progress status).
  • Inform employees, subcontractors and stakeholders regarding:
    • the expiration of permits,
    • requests for file supplements,
    • the availability and delivery of permits.
  • Classify and archive files in compliance with confidentiality rules.

  • Training in administration, management, human resources or equivalent field.
  • Experience in a similar administrative position (access, administration, HR support) appreciated.
  • Good knowledge of office tools (Excel, Word, tracking tools).
  • Sense of organization, rigor and attention to detail.
  • Ability to manage several files simultaneously and to meet deadlines.
  • Good communication skills and a spirit of service.
  • Discretion and strict respect for the confidentiality of information.
