Job Description

Roles & Responsibilities

Administrative Management

  • Plan, organize, and oversee all day-to-day administrative operations for the office and site to ensure smooth workflow and efficiency

  • Maintain and update employee records, contracts, and confidential company documents in both physical and digital formats, ensuring proper filing and easy retrieval

  • Manage all incoming and outgoing correspondence including emails, letters, and courier services, ensuring timely response and proper documentation control

  • Monitor and control office supplies, stationery, and consumables; raise purchase requests and coordinate with procurement for timely replenishment

  • Ensure proper maintenance of office premises, warehouse, and company facilities including cleanliness, repairs, and utilities

  • Coordinate maintenance schedules for office equipment, machinery, and company vehicles; ensure timely servicing and documentation

  • Liaise with vendors, service providers, and contractors for services such as cleaning, security, maintenance, and IT support

  • Ensure compliance with company policies, administrative procedures, and UAE regulatory requirements


Supervision & Team Management

  • Supervise and manage daily activities of support staff including office assistants, drivers, helpers, and housekeeping personnel

  • Allocate tasks and responsibilities based on workload and priority, ensuring efficient utilization of manpower

  • Monitor staff performance, productivity, and work quality; provide regular feedback and guidance for improvement

  • Ensure staff attendance, punctuality, and discipline in line with company policies; maintain attendance records and report irregularities

  • Conduct on-the-job training and orientation for new employees to ensure smooth integration into the team

  • Address day-to-day operational issues and resolve minor employee concerns or conflicts in a timely and professional manner

  • Promote a positive work environment and teamwork among staff

Desired Candidate Profile

  1. Good leadership and team management skills

  2. Proficiency in MS Office (Excel, Word, Outlook)

  3. Good communication skills (English required; Hindi/Tamil/Arabic is an advantage)
