Roles & Responsibilities

  • Process account openings accurately within timelines, verify KYC document completeness, resolve discrepancies with clients/internal teams, and ensure regulatory compliance.

  • Securely organize and store client/prospect documents on Google Drive using a clear folder structure, run backups, and maintain strict data confidentiality.

  • Maintain accurate client/prospect records in HubSpot CRM, log interactions (calls, emails, meetings), and audit data regularly for error-free updates.

  • Respond to emails within 24 hours, address queries professionally, escalate complex issues when needed, and maintain smooth stakeholder communication.

  • Support sales and operations workflows, conduct timely follow-ups, close pending tasks quickly, and flag bottlenecks to ensure process efficiency.

  • Follow company policies and compliance standards while safeguarding all client information with highest confidentiality.

Desired Candidate Profile

  • Minimum of 2-3 years of experience in an administrative role, demonstrating proficiency in handling diverse tasks.

  • Proficiency in Microsoft Office Suite and other productivity software, enabling efficient task execution.

  • Excellent written and verbal communication in English

  • Strong organizational and multitasking abilities

  • Experience using CRM tools (HubSpot preferred)

  • Proficiency in Google Workspace and Drive folder management

  • Understanding of KYC/Onboarding compliance (financial sector a plus)
