Roles & Responsibilities

SCOPE OF WORK, RESPONSIBILITIES AND DESCRIPTION OF THE PROPOSED ANALYTICAL WORK
Under the overall guidance of the Project Specialist, and close coordination with the Area Managers, the Admin and Procurement Consultant will perform the following functions:
Assist in preparing and organizing local-level meetings and workshops, ensuring logistical arrangements, documentation, and participant coordination.
Support the preparation of procurement-related documentation, including requests for quotations (RFQs), bid comparison tables, and technical summaries, under the guidance of the Project Specialist and in close coordination with the procurement unit.
Ensure all procurement requests and related documents are properly filed, tracked, and aligned with approved workplans and budgets.
Follow up with Area Managers and technical colleagues to ensure timely collection of supporting documents, delivery notes, attendance sheets, and other verification materials required for payments and reporting.
Assist in the preparation of project activity trackers, procurement plans, and progress summaries for internal review and monitoring.
Assist in maintaining project records, including correspondence, procurement files, delivery documentation, and meeting minutes.
Maintain a digital and physical archive of all administrative, procurement, and implementation-related documentation to ensure institutional memory and audit readiness.
Contribute to the preparation of periodic reports and briefing notes by providing administrative data, delivery status, and progress updates to the project team.
3. EXPECTED OUTPUTS AND DELIVERABLES
The Consultant is expected to submit a monthly progress report undertaking the above tasks and activities under the TOR noting that the total duration should not exceed 12 months (number of working days should not exceed 18 working days per month).
4. INSTITUTIONAL ARRANGEMENTS
With day-to-day management by the Project Specialist, the Admin and Procurement Consultant and close coordination with the Area Managers.
UNDP will be responsible for providing the contractor with all necessary materials related to the project in a timely thorough and transparent manner. UNDP will be also responsible to provide clarifications and facilitation of the work.
Day to Day transportation from home to office (& vice versa) shall be covered by the Consultant s own means. The Admin and Procurement Consultants will rely on his own means of communication and transportation.
5. DURATION OF WORK
The assigned duration for this consultancy is 12 months.
The mission is expected to commence the 7th of January 2026, and to be completed by the 31st of December 2026.
The time needed to review/ comment/ approve deliverables and outputs is (5) five working days.
6. DUTY STATION
Admin and Procurement Consultant in will be based in Beirut with frequent site visits to North, Bekaa, Mount Lebanon and the South.
STANDARD MINIMUM QUALIFICATIONS
Education: A bachelor s degree a minimum of 4 years experience or a Graduate degree with 2 years experience in social, economic, business administration, or related fields.
Experiences:
• At least 2 years of experience in work with UN agencies is an advantage.
Other Assets:
• Strong organizational, interpersonal, communication and problem-solving skills;
• Ability to plan and prioritize own workload;
• Ability to assume responsibility and to coordinate with others;
• Effective oral and written communication skills;
• Attention to detail and ability to handle tasks accurately;
• Ability to work under pressure with a team spirit.
• Displays sensitivity and adaptability.
Language:
• Strong verbal and written communication skills in English and Arabic.
